The most common email scam we see isn't sophisticated hacking.

It's an email address that looks almost identical to a real one. facebook.com with one letter swapped, or your CEO's address with a single character changed.

The email lands in your inbox looking legitimate. It's sent to your contacts, your team, and your finance lead. One click on a login link, and credentials are gone.

This is phishing. It's the entry point for most business email compromises we come across in Irish SMEs.

The fix isn't expensive tech. It's training your team to:

- Hover over sender addresses before trusting them

- Check for single-letter swaps (rn instead of m, 0 instead of o)

- Pause on any "urgent" request involving money or login details

- Verify senior-level requests through a second channel

Most Irish SMEs have an AI tool in use right now, whether leadership knows about it or not.

ChatGPT to draft emails. Copilot to summarise meetings. Gemini to clean up reports. Claude for research.

The tools are useful.

One of the most common misconceptions we come across:

"We're on the cloud, so our data is backed up."

It isn't. Not the way most people think.

Microsoft 365 and Google Workspace keep your data available, but they're not running full backups for you.

If a file gets deleted, a mailbox gets wiped, or a ransomware attack encrypts your SharePoint, the recovery window is usually 30 days. Sometimes less.

A proper third-party backup sits separately, runs daily, and lets you restore data weeks or months after the fact.

If you've never checked whether your business has this in place, it's worth asking this week.

Most business owners have a vague idea of what their IT provider actually does.

"They sort things when something breaks."

That's the old model.

Here's what managed IT actually looks like day-to-day:

- Background monitoring across servers, accounts, and backups

- Backup restore testing, not just "is it running"
- New starters set up before day one; leavers revoked the same day
- MFA, password policies, phishing investigations

The difference between "IT support" and "managed IT" is the difference between calling a plumber when a pipe bursts and having someone maintain the plumbing so it doesn't.

"Can you click this link? I've been locked out."

It came from her relative's actual WhatsApp. Same name. Same photo. Same conversation history.

The only problem. It wasn't her relative anymore.

Days earlier, the real person had been locked out of Meta and couldn't get back in. The attackers who took over the account then messaged her contacts asking them to "help" by clicking a link. Anyone who clicked handed over their own account next.

This is how compromised accounts spread through WhatsApp, Facebook, and Instagram. Not through strangers, but through the trusted contacts you already message every week.

A few habits that help:

- Never click a login link sent through a messaging app, even from someone you trust

- If a contact asks for help getting back into an account, ring them first

- Turn on two-step verification in WhatsApp (Settings → Account → Two-step verification)

- Be extra careful with urgent-sounding requests from family or colleagues

The people you trust most are exactly who attackers use to reach you.
