Technology Empowerment Research Center is a fully equipped innovation hub with several boards’ rooms, class and study rooms, event space, and innovation labs that connects Haitians with the assets and resources from the United States virtually to acquire a quality education. It allows Haitians to study in the United States virtually while they reside in Haiti. TERC aims to help Haitian students and professionals to advance knowledge and solve the nation’s biggest challenges by connecting them with researchers, universities, companies, and other partners across the United States.
The center creates a culture that empowers them to stay in Haiti and invest the acquired talent into solutions that can give the Haitian economy a fighting chance.
The Role
We are looking for an experienced Administrative Assistant to coordinate and support the Center in Haiti. This person will work closely with the Executive Assistant in the United States to manage administrative tasks; facilitate scheduling between the United States partners, and our stakeholders in Haiti.
Ideal candidates are proactive and self-motivated, highly organized, flexible, can prioritize well, innovative problem solvers, and have past experience serving as an executive assistant. We are looking for someone who is based in the Les Cayes area who can go to the center from Monday to Friday, and Saturday if needed.
Duties and Responsibilities:
- Serve as a liaison between the executive team in the United States, and our stakeholders in Haiti.
- Oversee general office operations and provide support as needed
- Help with the coordination, planning, and logistics of major events and functions hosted by the Organization and community partners.
- Maintain and oversee the organization of TERC records and files.
- Communicate with customers/employees to obtain and provide information; give directions, route calls, obtain records and/or documents; receive deliveries and sign-in registrations
- Assist TERC members / Students with the scheduling of classes, conferences, training, etc.
- Assist TERC members with the drop–off and pick-up of computers for repair services.
- Assist TERC members with printing, scanning, copying, and faxing documents
- Schedule and set up recurring business workshops, staff meetings, individual appointments, etc.
- Provide data entry; assign and complete records
- Order office supplies and maintain office inventory
- Type and proofread letters and forms that require basic spelling, grammar, and punctuation; complete forms requiring standard information
- Process payments and maintain records of cashbox
- Assist and participate in special events, tradeshows, and seminars to promote the TERC programs
Other tasks as assigned.
Essential Qualifications:
- Bachelor’s degree or applicable experience.
- Proficient in project management
- Ability to work effectively with people from diverse groups
- General knowledge of principles, techniques, and procedures associated with contract compliance and contract management
- Ability to compile and organize statistical reports, empirical data, and benchmarking data
- Extremely detailed oriented administrative professional
- Emotionally intelligent and culturally competent
- Fluent in English
- Excellent communication skills, including written and verbal, in-person and over video conference, as well as the ability to communicate with a wide range of audiences.
- Ability to work in a self-directed, autonomous, and high-achieving environment.
- Must be at least 18 years old, and have transportation
- Knowledge of and/or demonstrated ability to perform general office tasks
- Strong ability to multi-task, and stay organized in a busy work environment
Preferred Qualifications:
- Ability to lift up to 10 pounds
- Ability to use computer software programs, including Google Docs, Google Spreadsheet, Google slides, Google drive, and Filmmaker pro.
- Ability to be flexible with schedule; occasionally work in evenings or a Saturday
