Before you click, reply, or open anything, run through this mental checklist:

1. Who sent it? Check the actual email address, not just the display name. Does it match?
2. Were you expecting it? If not, treat it with suspicion.
3. Is there urgency? "Act now", "Final notice", "Your account will be closed." Pressure is a red flag.
4. Does the link match? Hover over it. Does the URL go where it claims?
5. Is there an unexpected attachment? Especially .zip, .exe, or files asking you to "enable macros."
6. Does it ask for sensitive data? Passwords, bank details, payment changes. Legitimate organisations do not ask for these by email.
If anything feels off, report it.

In your business, everyone should know:
• Where to report suspicious emails
• That they will never be blamed for reporting something safe
• That early reporting is the single most valuable thing they can do.

Phishing emails are not the obvious "Nigerian prince" scams anymore. They look like they are from your bank. From Microsoft. From your boss. From a supplier you have worked with for years.

I have seen phishing emails that replicate a supplier's invoice down to the logo and the font , but with a different bank account number.
One click. One attachment. One payment to the wrong account. And the damage is done.

Here is what every employee should know:

• Unexpected sender? Stop.
• Urgency or pressure? Stop.
• Generic greeting ("Dear Customer")? Stop.
• Link you were not expecting? Do not click.
• Attachment you did not ask for. Do not open.
• Payment or data request that is unusual? Verify by phone.

And the most important rule: if in doubt, report it.
Set up a reporting route in your business as a shared mailbox, a report button, an IT ticket. Make it easy. Make it blame-free.
The cost of reporting a safe email is zero.

Practical Tip on Password Managers
"But I'll forget my passwords." That is the point. You are not supposed to remember them!

That is the point. You are not supposed to remember them.

A password manager remembers them for you. You remember one password . your master password. and the app manages the rest.

Here is how to set one up in 10 minutes:
1. Pick a password manager. Bit warden, 1Password, Dash Lane .. all solid options for small businesses.
2. Create your master password. Make it a passphrase: three or four random words. "Purple-Elephant-Rocket-Sunset." Easy to remember, hard to crack.
3. Write that master password down. On paper. Store it somewhere safe. Not in your phone. Not in your email.
4. Add your work passwords one by one. Start with email, then your most important accounts.
5. Replace weak or reused passwords with ones the manager generates.
That is it. You now have strong, unique passwords for every account and you only remember one.

The biggest objection I hear: "What if I lose access to the password manager?"
That is why you store backup recovery codes. And why you write down your master password. There is always a recovery path.

The real question is: can you afford NOT to use one?
