When we create events for multiple clients, we need to hide the guest list. This prevents attendees from seeing each other's email addresses and names. This setting is useful for private meetings, client workshops or large webinars.

Google Calendar has the 'See guest list' option in the settings that allows you to easily hide the guest list from attendees.

Here is a step-by-step guide on how to do it.

To make this the default setting (so all meetings going forward will have the guest list hidden by default):

Step 1 - Access the Google Calendar settings via the settings wheel (cog)

Step 2 - Scroll to the General settings and untick the 'See guest list' option.

🔎 Mystery Solved: Where Did My Saved Outlook Text Go?

In Microsoft Outlook, you can save frequently used text as Quick Parts and reduce repetitive typing across your daily emails.

Step 1 - Open a new email and type out the text you constantly reuse.
Step 2 - Highlight that text and right-click to select 'Save selection to Quick Parts'.

Mystery🔎: You have created a Quick Part in Outlook but cannot remember where it went or how to insert it when you need it (making it not so quick).

Solution 1 - The Insert Tab in Outlook

Step 1 - Go to the Insert tab > click Quick Parts > select the saved quick part

Solution 2 - Right-Click

Step 1 - Open a new email message and right-click in the body of the email.
Step 2 - Select 'Insert Quick Part' and select the quick part you would like to insert.

This Outlook tool can save you a lot of time and is one of our top productivity features!

Mystery solved by the CloudShed team! 🕵️‍♀️

We have so many tools at our disposal these days, but are we using them in the correct way?

We have sat in a lot of meetings that could have been an email and we have read group emails that could have been a chat message.

Scenario 1
Your sandwich has gone missing from the communal fridge, should you:

1. Arrange a 30 minute meeting to try to locate the sandwich thief
2. Send an all company email to try and locate your sandwich with 300+ people replying all to say they haven’t seen it
3. Pop a message in the team chat

Our answer: C Utilise the chat tool. The chat tool is a great way to communicate within teams or organisations without clogging up people’s inbox. A chat thread is a better place for this problem.

Scenario 2
You need to update your team on project action items you have completed, should you:

1. Arrange a meeting to read your list of complete tasks to your team
2. Send an email to the team to update them
3. Complete your actions in the shared document and leave comments/actions to alert others.

Our answer: C Shared documents are the place for project updates and task assigning. This is especially useful for teams working across different timezones and can pick up comments in their working hours instead of missing information in video calls.

We have all these productivity tools at our fingertips but they only increase our productivity if we use them correctly.

Did an email from last Wednesday randomly reappear at the top of your inbox? We love time travel but haven't mastered it yet, so what's going on?

Mystery: An old email suddenly pops up at the top of your inbox, marked as 'Unread', making it look like a duplicate or a brand-new message when no one has replied, spooky 👻
