Always make sure your network is secure this is the best practice to protect your business.

From the sounds of it they used a RDP (windows Remote Desktop Protocol) and port forwarding to solve there problem.. the issue is it enables others to try and access a machine.

I would also say the person has some knowledge about there network and most likely in the chemistry involved all be it maybe a small amount.

some times the answer is no. Its a slow and inevitable march toward Open Source Software like for LibreOffice, Ubuntu and much more. More and more companies are turning toward these types of solutions to cut costs and add flexibility to there businesses.
