Just fired an employee? Don’t stop at taking their laptop and changing their email
password.

If you care about security, that’s not enough, as their phone most likely still has access. Their browser might autofill your CRM, and there might be shared tools, notes, and even passwords that you don’t know about.

The best approach is to scrub everything.

Think about everyone outside your company who has a login to your systems: the web developer from two years ago, the marketing freelancer, the bookkeeper who left in March. A lot of those accounts are probably still active.

These accounts are easy to forget because the people aren't your employees. But each one is a way into your business, and you have no idea how well that person guards their password.

Do this:

1. List every outside person and company with a login to your email, files, website, accounting, or any business system.

2. For each one, decide whether they still need it and when they last used it.

3. Turn off anything that's no longer needed, and ask your IT provider to set a reminder to review this again in six months.

For the access you keep, give each outside party their own named login, never a shared one. If something goes wrong, you'll want to know exactly whose account it was.

If you want your team to work fast, don't skimp on their computers or your internet.

Everything moves quicker than it used to. Customers want fast replies, and the jobs often go to whoever gets back to them first. Your team can't be quick if their tools are slow.

A laptop that takes an age to load, internet that keeps dropping, cheap software that hangs, all of it means your people spend half the day waiting around and working out ways past the problem. It's frustrating, and good staff hate not being able to get on with the job because of the gear they've been given.

Spend a bit more here and you get it back. The work goes faster, and people are happier doing it.

You don't need top-of-the-range everything. You just need computers and a connection that are quick and reliable enough to stay out of your team's way.

When someone new starts, the rush is to get them working fast, so security often gets skipped. But the accounts and access you set up on day one are the ones that stick around for years.

Get these right from day one:

1️⃣ Give them their own accounts, never a shared login. That way you know exactly who did what, and you can switch off their access cleanly when they leave.

2️⃣ Give them access to only what they need for their job, nothing more. It's easy to add more later, and much harder to claw back access you handed out by default.

3️⃣ Turn on MFA from their very first login. Don't leave it for later.

4️⃣ Set them up on a company device. If they're using their own, make sure it has a screen lock, automatic updates, and your basic protections.

5️⃣ Spend ten minutes walking them through the basics: how you handle passwords, what to do with a suspicious email, and who to tell if something feels off.

If someone takes over your page, they can scam your customers using your name.

They can post scams to your followers, message your customers pretending to be you, or just lock you out and hold the account hostage. And a lot of businesses still run these accounts on a single shared password with no 2FA, sometimes one an ex-employee still knows.

The first thing to do is turn on two-factor authentication for every business account. After that, stop sharing one login. On Facebook and Instagram, Business Manager lets you give each person their own access, so you can add or remove people without changing a password. While you're in there, check who has access and remove anyone who's left.

And your business page is usually tied to someone's personal admin account. If that personal account gets hacked, your business page goes with it, so lock it down too.
