I once discovered a rather unfortunate sentence on my own website.

It said:
โ€œI'll help you decide which level of support is ๐ง๐จ๐ญ appropriate.โ€

What I actually meant was:
โ€œI'll help you decide which level of support ๐ข๐ฌ appropriate.โ€

Not quite the reassuring message I was going for! ๐Ÿ˜‚

The best part? Two other people had checked the website too, and none of us had spotted it.

Sometimes, when you've read something over and over again, your brain seems determined to see what you meant to write rather than what's actually there.

And that's one of the reasons a fresh pair of eyes can be so useful before you publish something important.

Especially when one extra word completely changes the meaning!

Yes.

Or at least, that is always the intention.

If something is incorrect, unclear, or inconsistent, I'll pay attention to it.

If a sentence could be interpreted in a way you didn't intend, that matters.

If the same term appears three different ways throughout a document, I'll notice.

But if something is simply ๐‘ฆ๐‘œ๐‘ข๐‘Ÿ ๐‘ค๐‘Ž๐‘ฆ ๐‘œ๐‘“ ๐‘ ๐‘Ž๐‘ฆ๐‘–๐‘›๐‘” ๐‘ ๐‘œ๐‘š๐‘’๐‘กโ„Ž๐‘–๐‘›๐‘”, that's different.

I don't want to replace your voice with mine.

I want the person reading the finished version to hear ๐ฒ๐จ๐ฎ without unnecessary distractions getting in the way.

And sometimes that means changing something.

Sometimes it means asking a question.

And sometimes it means leaving your words exactly where you put them.

A. Straight in. Get the words down and sort them out afterwards.

B. Write one sentence. Edit it. Write another. Edit that. Go back and edit the first one again.

C. Spend 20 minutes choosing a title before writing anything else.

D. A chaotic mixture of all three depending on the day.

No judgement here.

A longer report or guide.

When there are more words, more pages, or more moving parts, the job changes.

It isn't simply about finding individual errors.

There may be terminology that needs to stay consistent.

Headings that need to work together.

Sections that need to make sense as part of a whole.

And, throughout all of that, the writing still needs to sound like the person or business it belongs to.

Imagine someone writes:

โ€œIโ€™ve worked with lots of business owners over the years and, honestly, most of them tell me the same thing.โ€

I could decide that this sounds more โ€œprofessionalโ€:

โ€œHaving supported numerous business owners throughout my career, I have observed a recurring concern.โ€

Is the second version more formal?

Yes.

Is it better?

Not necessarily.

And if the first version sounds like the person who wrote it, I've potentially โ€œimprovedโ€ the personality straight out of it.

Professional doesn't have to mean formal.

Clear doesn't have to mean bland.

And proofreading isn't an invitation to make everybody sound the same.

One of the things I care about most when working with someone else's words is making them clearer without taking the writer out of them.

Which is why this part of Michelle's feedback meant so much:

Actually, Iโ€™m wary of the word perfect when weโ€™re talking about something created by a human being.

For me, polished is much more useful.

It means the unnecessary distractions have been dealt with.

The meaning is clear.

The presentation feels considered.

The words are doing the job they were written to do.

And the person behind them is still there.

Thatโ€™s a standard Iโ€™m much more interested in than trying to make every sentence somehow โ€œperfectโ€.

Because your reader isnโ€™t looking for evidence that a flawless writing machine created your content.

Theyโ€™re trying to understand ๐ฒ๐จ๐ฎ.
