What should a firewall protect against?

A firewall should help your team get on with their day-to-day work while keeping your business safe from threats like unauthorised access, ransomware and data loss.

It should act as a barrier between your network and the internet and helps keep unwanted traffic out while allowing legitimate activity through.

But the key is getting the balance right for how your business actually works.

If the rules are too relaxed, you leave the door open to potential threats. If the rules are too restrictive, you could end up disrupting everyday tasks like video calls, payment processing or remote access.

It’s about protecting your business without making everyday work harder than it needs to be.

How can I protect my CRM and customer data?

Customer records can contain names, email addresses, notes and commercial information, so access must be controlled.

Give each colleague an individual account, use strong passwords and multi-factor authentication where available, and remove access promptly when roles change.

The ICO’s UK GDPR data protection principles require personal data to be processed lawfully, fairly and transparently, as well as kept accurate and no longer than necessary. Your CRM processes should support those responsibilities.

Security also relies on the surrounding IT environment. Keep browsers, operating systems and CRM-connected devices updated, and make regular backups of critical data where the service allows it.

The NCSC Cyber Essentials scheme highlights five technical controls, including secure configuration, user access control and security update management. These are sensible foundations for protecting customer information and maintaining business continuity. You can find more here ➡️ https://www.ncsc.gov.uk/

Choosing a CRM is one thing. Getting your team to use it effectively is another.

Successful adoption depends on involving the people who will use the system each day.

Here are a few important steps that shouldn’t be overlooked:

▪️Identify a practical champion.

▪️Clear ownership, useful fields and consistent use will deliver more value than an overly complex configuration. Create sensible categories and agree a small number of sales stages that everyone understands.

▪️Gather examples of common customer requests and test the workflow with real scenarios before moving all records. A short pilot can expose duplicate contacts, unclear permissions or missing information while changes are still straightforward. It also gives staff confidence that the CRM is designed to make their work easier.

▪️Plan data migration carefully. Decide which historic records are genuinely useful, standardise names and remove obsolete contacts before importing anything.

▪️Set simple rules for entering new leads, recording calls and closing completed work.

▪️Training should cover the daily actions each role needs, not every menu in the platform.

▪️Follow up after a few weeks to refine fields, reports and automations based on how the team actually works.

How to choose the right CRM system for your business?

Knowing you need a CRM is one thing. Choosing the right one for your business is another.

Here are a 2 very important things to consider when choosing a CRM system:

1️⃣ Start with the customer journey rather than a list of software features. Consider how an enquiry arrives, who responds, how a quote is produced, what happens after a sale and how repeat work is encouraged. The right system should support existing good practice without forcing staff into unnecessary administration.

2️⃣ Ask whether the CRM can connect to your email, calendar, accounting package or website forms, but avoid adding every available integration at once (keep the first version focused).
