Quick question.

How many reports, spreadsheets and processes in your business exist purely because another report, spreadsheet or process couldn't quite do what you needed?

Most businesses don't become complicated overnight.

It's usually the result of sensible people making sensible decisions over a long period of time.

The interesting part is that every decision makes perfect sense when viewed on its own.

It's only when you zoom out that you see the bigger picture.

Need to find an email attachment but can't remember who sent it?

Don't search for the email.

Search for the attachment instead.

In Outlook, try typing:

hasattachments:yes into the search bar.

You can combine it with other searches too, such as:

hasattachments:yes invoice

or

hasattachments:yes Smith

It's one of the quickest ways to find that spreadsheet, PDF or report you know somebody sent you three months ago.

Far easier than scrolling through hundreds of emails trying to remember where you put it.

Saturday thought 💭

Do you ever notice how every household has one drawer that nobody is willing to sort out?

You know the one.

Random cables, old batteries, unknown keys going back to the dark ages, assorted chargers, flyers, tools, random objects that might have a purpose.

Everyone agrees it needs sorting.

Nobody actually sorts it.

I've decided that's basically the home version of 'I'll deal with it later'.

⚠️ Tuesday Tech Tip ⚠️

Do you ever write an email at 6pm (or later) and then wonder whether you should really be sending it at 6pm?

Most versions of Outlook now have a Schedule Send option.

Instead of hitting Send immediately, you can choose when the email is delivered.

Useful for:

* emails written late in the evening
* messages you don't want forgotten overnight
* client communications you want arriving during business hours
* anything that could benefit from a second look before it goes

I know quite a few people who use it as a built-in proofreading tool.

Write the email.
Schedule it for tomorrow morning.
If you spot a mistake later, you can still edit or cancel it before it sends.

One of those simple features that's surprisingly handy once you start using it.

Saturday update 💭

The lawn reseeding seems to have worked.

A few weeks ago there were bare patches where the ground had been too wet over winter and I never managed to keep on top of the worm casts.

There's now plenty of new growth coming through and it's looking much healthier.

Unfortunately, nature appears to have interpreted this as an invitation to grow mushrooms as well. 🤦

Lots of mushrooms.

Apparently they're a sign of healthy soil.

Which is great.

Less great when you're the one spending part of your weekend walking around the garden pulling them all out by hand.

Still, I'd rather be dealing with too much growth than not enough.

Quick question.

If an email arrived from one of your customers with an attachment, would your staff open it?

Most would.

In fact, I'd argue most businesses would expect them to.

That's exactly why attacks like this work.

Recently, we dealt with an incident where a user opened an attachment from what appeared to be a trusted sender.

Within minutes, emails were being sent from their account to contacts they had built relationships with over years.

Think about that for a moment.

Not a random spam list.

Customers.
Suppliers.
Prospects.
People who recognise your name and trust your business.

Fortunately, the wider impact was limited.

But the disruption wasn't.

Phone calls.
Explanations.
Damage control.
Questions from people wondering whether the email was genuine.

The uncomfortable reality is that modern cyber attacks don't usually start with somebody doing something obviously stupid.

They start with somebody doing something completely reasonable.

That's why Security Awareness Training matters.

Not because your staff aren't capable.

Because attackers are getting very good at looking legitimate.

If you spend half your life working in Excel, Outlook and accounting software, this one can save a surprising amount of time.

Press:

Windows + V

This opens your Clipboard History.

Instead of only pasting the last thing you copied, you'll see a list of recently copied items and can pick the one you actually wanted.

Perfect when you're moving:

client references
invoice numbers
account codes
addresses
VAT numbers

between multiple systems.

If nothing appears, you'll be prompted to turn the feature on.

One of those small features that's been in Windows for years but many people still don't know exists.

What I noticed this week 💭

A client had a relatively minor IT security incident this week.

It wasn't catastrophic, no major systems went down and there was no significant damage.

But it still consumed a surprising amount of time:

Investigating what happened.
Checking systems.
Reassuring staff.
Answering questions.
Communicating with customers and contacts << The big one.

It reinforced my belief that the biggest cost of many incidents isn't necessarily the technical fix, its the time of the interruption.The fact a whole group of people stop doing their normal jobs while everyone works out what's happened.

Business owners often think about cyber security in terms of preventing disaster. But most of the time it's actually about preventing disruption.

Thursday thought 💡

How did we get to work never actually ending?

Let me explain...

Maybe I'm showing my age, but years ago when you left the office that was it until the next day.

Now work sort of just follows us around.

A quick Teams message at 8pm.
Replying to emails while watching TV.
Checking one thing on your phone.
“Just quickly” looking at tomorrow’s calendar.

Modern work has become a constant low-level background process.

And what's weird is we barely notice we’re doing it anymore.

Tbh I don't think technology created the problem entirely.

I think it just made it easier for businesses to slowly remove the natural stopping points people used to have.

If you’re an accountant with lots of browser tabs open all day, this one is for you.

Most people know Ctrl + Shift + T reopens a closed browser tab. (Or maybe not!)

What a lot of people don’t realise is you can keep pressing it.

So if you accidentally close:

one tab
five tabs
or an entire browser window full of client work...

you can usually bring the whole lot back in the order they were closed.

Works in:

Chrome
Edge
Firefox
and most modern browsers..

One of those tiny things that can save a surprising amount of stress at 4:55pm on a Friday. 😍
