The hardest AP problem to fix isn't a broken process. It's the fact that the people best placed to fix it are the same people drowning in it.

Most finance leaders have a rough idea of what AP software costs.

Very few know what their current manual process is already costing them.

The numbers are uncomfortable once you see them:

▪️$12.50–$15 to process one invoice manually. Around $4–$5 with automation.
▪️14.6 days average approval time. 3.1 with workflows in place.
▪️ $53 per error caught after payment. At 500 invoices a month and a 5% error rate, that's ~$15,900 a year in rework most teams aren't tracking.

We rebuilt our savings calculator this year to produce numbers a CFO would actually find credible. It applies a 70% realisation rate to time savings, uses real error counts instead of inflated formulas, and keeps compliance risk separate from the headline figure.

A typical scenario (100 invoices, 20 POs, email approvals) comes out at 11x ROI with payback in around five weeks. The old version showed 21x. The new one is lower, and it's the one you can put in front of a CFO without defending the methodology.

The full breakdown is in the blog. And you can find out your specific number in the calculator.

Weeks building the budget, everyone signs off, financial year kicks off… and then it gets filed and forgotten. How many times has the variance report been the first sign a department's 30% over?

Classic 😐

The problem is that Xero shows what happened but it doesn't check the budget before a bill gets approved.

We dug into why that gap exists - and what actually fixes it 👇

🇦🇺 The CFO Techstack Showcase is landing in Sydney on 13 May, and ApprovalMax will be there!

This brand-new event brings the apps that finance teams actually run on into one room, side by side, so you can see them in action rather than read about them in a deck. It's built for finance leaders scaling on Xero, and for the accountants advising them.

If you're coming, find the ApprovalMax team. We'll show you how finance teams are using approval automation to take control of spend before it leaves the business: every bill routed to the right approver, against live budget data, with a permanent record built as a by-product.

Most finance teams find out about overspend when the variance report lands. By then, the money's already gone.

Xero is brilliant for tracking what's been spent. But it doesn't stop an over-budget bill from getting approved - it just reports on the damage afterwards.

Real budget control happens at the point of approval, not month-end.

We've just published a piece breaking down exactly why that gap exists in Xero, and what it takes to close it 👇

Still chasing invoice approvals? That's not finance - that's admin.

Most approval processes were never designed. They just evolved into email chains and manual nudges that eat a lot of hours a week.

But we have the fix: workflows that route, escalate, and audit themselves... so you don't have to.
