The formula most people get wrong "What size screen do we need?" - It's the most common question we receive,
and there's actual science behind the answer.

The viewing distance formula: Screen diagonal (inches) = Viewing distance (feet) × 2
Example: If your furthest seat is 12 feet from the screen, you need at least a 24" display (but ideally larger for comfortable viewing).

𝗕𝘂𝘁 𝗵𝗲𝗿𝗲'𝘀 𝘄𝗵𝗮𝘁 𝘁𝗵𝗲 𝗳𝗼𝗿𝗺𝘂𝗹𝗮 𝗱𝗼𝗲𝘀𝗻'𝘁 𝘁𝗲𝗹𝗹 𝘆𝗼𝘂:
For video conferencing, you need to see facial expressions clearly - that requires roughly 50% more screen size than the formula suggests.
For data/spreadsheet sharing, text legibility demands even larger displays or dual-screen setups.

𝗥𝗲𝗮𝗹-𝘄𝗼𝗿𝗹𝗱 𝗴𝘂𝗶𝗱𝗮𝗻𝗰𝗲 𝗳𝗼𝗿 𝘁𝘆𝗽𝗶𝗰𝗮𝗹 𝗺𝗲𝗲𝘁𝗶𝗻𝗴 𝘀𝗽𝗮𝗰𝗲𝘀:
▪️ Huddle room (4-6 people, 6-8ft viewing): 55" minimum, 65" optimal
▪️ Standard meeting room (6-10 people, 10-14ft): 75" minimum, 86" optimal
▪️ Boardroom (10+ people, 15ft+): 86" or dual displays

Don't let a £500 saving on display size undermine a £5K investment in the rest of your AV setup.

Audio Coverage in Meeting Rooms

Meeting room audio: Why "just use the laptop mic" doesn't work.

Here’s the technical reality:

A standard laptop microphone has an effective pickup range of about 1-2 metres. Your meeting table? Probably 2-4 metres long. This creates the "distant echo" problem - colleagues at the far end of the table sound like they're calling from a cave, while the person closest to the laptop overwhelms the mic.

The solution isn't expensive - It's about understanding coverage:

• For rooms up to 6 people → Intelligent speakerphone with 360° pickup (3-5m range)

• For rooms 6-12 people → Ceiling microphone array or beamforming soundbar

• For boardrooms 12+ → Multi-zone audio with DSP processing

The right audio setup shouldn't cost more than a couple of monthly software subscriptions, but it transforms meeting equity - ensuring every voice, wherever they're sitting, is heard clearly.
