Q is for Quotes 💰

Not the motivational kind...The IT kind.

If you've ever got a quote from an IT company and had absolutely no idea whether it was good value or not, you're not alone. It's one of the most common frustrations we hear from businesses shopping around.

IT pricing can feel deliberately opaque. Per user, per device, per site, per month, setup fees, licensing on top, support tiers that are hard to compare... it's a lot.

A few things worth looking out for when you're reviewing an IT quote:

→ Is support actually included, or is it billed per hour when something goes wrong?

→ Does the price include licences, or are those extra?

→ What's the contract length and what are the exit terms?

→ Is security bundled in, or is that a separate conversation later?

→ Who actually picks up the phone - a local engineer or an offshore helpdesk?

The cheapest quote isn't always the worst option. But it's rarely the full picture either.

We're always happy to have a transparent conversation about pricing - no jargon, no hidden extras, no pressure. Just a straight answer about what you'd get and what it costs.

P is for Passwords 🔑

Everyone knows they should have a strong password...almost nobody actually does.

"Password123", the name of your dog, or the same credentials you've been using since 2015 across every account you own. We've seen it all. And so have the hackers.

Passwords are still one of the most common ways businesses get compromised, not through some elaborate Hollywood-style attack, but because someone reused a weak password that was already leaked in a data breach years ago.

A few things that actually make a difference:
→ Use a password manager - one strong master password, everything else generated and stored securely

→ Make passwords long over complex - "correct-horse-battery-staple" beats "P@ssw0rd!" every time

→ Never reuse passwords across accounts - ever → Add MFA on top - so even if a password is compromised, it's not game over

→ Change credentials immediately if there's any suspicion of a breach

The good news? Getting this right isn't that complicated or expensive. It's mostly habit and the right tools.

The bad news? Most businesses are still winging it.

If you're not sure where your business stands, that's probably worth finding out.

O is for Outsourcing 🤝

At some point, most growing businesses ask the same question

"Do we hire in-house IT, or do we bring in someone external?"

It's a fair question. And the honest answer is: for most SMBs, outsourcing wins.

Here's why.

A full-time IT person costs £35-45k+ before you factor in NI, pension, holiday cover, and the fact that one person can't know everything.

Technology is too broad for that now...you need someone across networking, security, cloud, compliance, end user support... the list goes on.

An outsourced IT partner gives you a whole team for a fraction of that cost. Different expertise, faster response, and no sick days.

But it's not just about money. It's about focus. Your team should be doing what they're good at - not waiting on hold with Microsoft or trying to figure out why the printer has stopped working again.

The best outsourced IT relationships don't feel transactional. They feel like having a trusted person in your corner who actually understands your business and picks up the phone when you need them.

That's what we try to be for every client we work with.

N is for Network Security 🌐

Most businesses don't think about their network until something goes wrong. And by then, it's usually too late.

Your network is the backbone of everything - every email sent, every file accessed, every system your team logs into passes through it.

If it's not properly secured, you're essentially leaving the door open and hoping nobody walks in.

Network security isn't just about having a router with a password on it. It's about knowing:

→ Who and what is connected to your Network

→ Whether your traffic is being monitored for anything suspicious

→ If your guest Wi-Fi is properly separated from your business systems

→ Whether remote workers are connecting securely (looking at you, coffee shop VPN avoiders)

→ What happens if something does get in — can it move freely, or is it contained?

The scary truth? A lot of SMBs have networks that were set up years ago, never really reviewed, and have had devices, users and cloud services bolted on over time. That creates gaps that aren't obvious until someone exploits them.

A quick network review can highlight problems that are genuinely simple to fix — but only if you know they're there.

Worth a look?

M is for Multi-Factor Authentication

Passwords alone are not enough. They haven't been for a while.

It doesn't matter how strong your password is if it ends up in a data breach and chances are, some of your credentials already have. That's not scaremongering, it's just FAX (no printer).

Multi-factor authentication (MFA) adds a second check. Even if someone has your password, they still can't get in without the second factor - your phone, an authenticator app, a hardware key.

It's one of the simplest changes you can make. It's free or near-free on most platforms. Microsoft's own data suggests it blocks over 99% of account compromise attacks.

And yet, we still regularly see businesses, including professional services firms running without it.

If your Microsoft 365 accounts don't have MFA switched on, that's the first call to make.

L is for Layered Security 🔐

One lock on the front door is fine...until someone finds the spare key.

That's basically how most small businesses approach their IT security. One antivirus, maybe a firewall, job done. But real protection doesn't work like that.

Layered security (sometimes called defence in depth) is the idea that if one control fails, there's another one behind it. And another behind that.

Think of it like this: → Your firewall stops most threats at the door → Your endpoint protection catches what gets through → Email filtering blocks the dodgy link before your staff even see it → MFA stops the attacker who somehow got hold of a password → Dark web monitoring tells you when your credentials are already out there

No single tool is bulletproof. The layers working together are what make the difference.

Most of the breaches we see with SMBs aren't sophisticated attacks - they're opportunistic ones that found a gap. A gap that a layered approach would have closed.

If your security strategy is one tool and a prayer, it's worth having a conversation.

We’ve reached J in our A–Z of IT…

And this one’s a big one.

J is for: Jargon

Let’s be honest...IT loves jargon.

Single Sign-On, Endpoint Detection, Zero Trust, API, Encryption… the list goes on.

To most businesses, it sounds like a different language. And that’s the problem.

❌ Jargon creates confusion

❌ Confusion slows decision-making

❌ Slow decisions can lead to risk

Good IT support shouldn’t hide behind technical terms. It should translate them.

✔️ Clear explanations

✔️ Straightforward advice

✔️ No unnecessary complexity

Because at the end of the day, you don’t need to know how everything works...you just need to know it’s working, secure, and right for your business.

If your IT provider speaks in acronyms more than outcomes… it might be time for a change.

Our ABC of IT series rolls on, and today we’re on the letter I 👇

I = Infrastructure

It’s not the flashiest part of IT, but it’s the backbone of everything.

Your infrastructure is what keeps your business running day to day - servers, networks, cloud platforms, connectivity.

When it’s solid, everything just works.

When it’s not… you definitely notice.

Good infrastructure is about:

🔧 Reliability and uptime

⚡ Performance and speed

🔐 Security and resilience

📈 Scalability as your business grows

Whether it’s on-prem, cloud, or a mix of both, having the right setup (and keeping it maintained) makes all the difference.

Because no one thinks about infrastructure… until it breaks.

**The ABC of IT — The Letter F 💻**

**F is for… File Sharing.**

File sharing keeps businesses moving — whether it’s collaborating on documents, sending large files, or working across teams and locations.

But while it’s convenient, it also comes with risk if not managed properly.

Why does secure file sharing matter?

🔹 Prevents sensitive data leaks
🔹 Controls who can access, edit, or download files
🔹 Protects against ransomware spreading through shared folders
🔹 Supports compliance and audit requirements

Best practice file sharing should include:

✅ Permission-based access
✅ Expiry dates on shared links
✅ Encryption in transit and at rest
✅ Version control & backup
✅ External sharing controls
✅ Monitoring & audit logs

Tools like Microsoft 365, SharePoint, OneDrive, and secure cloud platforms make collaboration seamless — without compromising security.

Because file sharing should make work easier… not riskier.

Stay tuned as we continue the **ABC of IT** series.

Happy New Year!

I bet you are so excited for this to start again!

E is for… Encryption (because your data deserves a New Year’s resolution: “Stay secure!”)

As we kick off the year, it’s the perfect time to make sure your sensitive information isn’t out in the wild for anyone to grab. Encryption is like putting your data in a digital vault even if it gets intercepted, it stays unreadable and safe.

🔐 3 Quick Encryption Tips for 2026:

✨ 1. Encrypt your emails.

Especially when sending sensitive documents no one wants last year’s mistakes showing up in this year’s inbox.

💾 2. Encrypt devices.

Laptops, phones, USB drives - if it can hold data, it can (and should) be protected.

🌟 3. Keep your keys safe.

Encryption is only as strong as your key management. Don’t leave keys lying around like leftover Christmas wrapping paper.

Start the year right and lock down your data before cyber criminals decide to make it their resolution.
