A process map can be a good starting point. Check it against a recent real job before building from it.

Ask who sent the first email, where missing information was recorded and what happened when the customer changed their mind. If staff describe it differently, it is better to find out now.

Your data is a start. Someone else also needs to be able to understand the system, run it elsewhere and make changes without rebuilding it.

A Day-1 Build should finish with a live system for the job agreed, not a mock-up or the start of an undefined larger project.

The first version may leave later ideas for later. It should not leave the original job unfinished.

Some jobs need a person to make a different decision for a good reason.

The system should record the exception, who decided it and what happens next. Otherwise the real decision ends up back in email.
