Can your phone system run on Microsoft 365?

It's likely you're already using Microsoft 365 every day (Outlook, Teams, SharePoint etc.) but most don’t realise their phone system can also be brought into that same environment.

We’ve been helping clients look at phone systems through Microsoft Teams and 365, especially where they’re already using those tools across the business.

Instead of having completely separate systems for emails, meetings, calls and internal communication, everything can work together in a way staff already understand.

It can be especially useful for businesses with people working between the office and home, or teams who are already spending most of their day in Teams.

Calls can be handled through a familiar platform, users can be set up properly and the phone system becomes part of the wider IT setup rather than something sitting separately in the background.

If your business is already using Microsoft 365, it might be worth reviewing whether your phone system should be part of that conversation too.

Are you still on an analogue phone system?

We’ve been helping a client recently who was still using an older analogue phone setup.

They knew the system needed to change (especially with traditional analogue services being phased out) but they wanted to keep costs down as much as possible.

Rather than replacing everything with physical handsets on every desk we looked at a more flexible setup. The new system allows users to make and receive calls through a portal on their PC using headsets, with the option to use a mobile app as well.

Lower hardware costs, less equipment on desks, more flexibility for remote working and easier access for staff who are not always in the office.

The smarter option is usually the simplest.

Not every business needs ongoing IT support and not every business wants to commit to a monthly contract.

We have plenty of clients who simply come to us when they need help.

For example, a ceiling company we work with got in touch after the owner started receiving a high volume of suspicious emails. Someone had clearly been watching how the business communicated and was trying to impersonate a member of the team.

We were able to step in, secure the account and put the right protections in place.

In another case, a life insurance company we work with needed help managing their domain and redirecting their website from one location to another. Straightforward job. Sorted quickly.

Different businesses. Different needs.

The common theme is that they just needed someone they could rely on when something came up. Of course, many of our clients do benefit from ongoing support, but it’s not the only way we work.

Sometimes it’s about being available when needed and getting things resolved properly without unnecessary complication.

When did you last actually review your phone bill? Would the £200 per month saving be better off in your pocket?

We’ve been looking at a telecoms setup recently for a client who makes a lot of international calls.

They’d been with the same provider for around 8 years and the phone system had just become one of those bills that gets paid every month without looking into it.

When we started looking properly, there were a few things that didn’t make much sense anymore.

They had extra charges, very old arrangements that the current supplier was happy to take the money for, unnecessary additional costs and handsets they were still renting after those 8 years!

That last one is a good example. With the right setup, those handsets could have been paid off after a relatively short time, rather than continuing as an ongoing rental cost year after year.

Once we looked at the numbers, we found we could save them at least £200 per month. That’s before considering the wider benefits of having everything better supported and easier to manage.

Telecoms is one of those areas where businesses often stay with the same provider for years because changing feels like hassle. A proper review is all it takes to uncover costs that don’t need to be there.

If your phone contract has been rolling on for years, or you’re making regular international calls, it might be worth asking whether your current setup still makes sense.

You might be surprised by what’s hiding in the bill...

If one (or more) or your computers are slow, they don't always need replaced.

We’ve had a few clients recently asking existing machines to do more than they were originally set up for. More software, browser tabs, cloud tools, background apps running all day.

And as software updates roll out, the demands on older machines often increase too. In some cases, the answer isn’t a brand new PC or laptop. A sensible upgrade often does the trick.

This month we’ve added RAM to several machines to help them cope better with day to day workloads. For some users, that simply means having lots of tabs and programs open at the same time. For others, especially businesses like private hire companies, the phone system may also be running through the machine, adding even more demand.

A RAM upgrade can often give a computer a new lease of life without the cost of replacing the whole device. Of course, it depends on the machine and what the user needs it for. Sometimes replacement is the right call.

That’s why it’s worth getting proper advice before assuming slow means finished.

When your IT company gets bought over, it can sometimes change the relationship overnight. The name might stay familiar, but suddenly you’re dealing with different people, processes and a support team that doesn’t really know your business.

Good IT support isn’t about logging a ticket and waiting for someone to pick it up. It’s about speaking to people who already understand your setup.

We’re a small team and that’s a big part of how we work. When you phone us, you’re dealing with people who know your systems, staff and how your business operates.

Our engineers keep detailed notes on every client setup, but there’s also a lot of value in the familiarity that comes from working closely with businesses over time.

We know what’s been done before and what equipment you have. That makes support quicker, clearer and personal.

There’s nothing wrong with larger providers, but for many businesses there’s real comfort in knowing exactly who is on the other end of the phone. It's good to know you’re never just another ticket in a queue.
