After developing membership system for one of Scotland's top tennis clubs, we can now offer this to one of our other passions.. Noticing that most golf clubs still don't offer the ability to apply for membership online, most clubs st

ill have cumbersome process of applying via email, printing off a word or PDF document, sending that back and forward over email to then set up a standing order. Having solved this for tennis clubs, we can now offer this to golf clubs also. As a former competitive amateur golfer (Ayrshire boys county player, 1 hcp, winner of Troon Golf Week & Brand Putter (Glasgow Team League)

I gave up golf six years ago and started playing tennis, competitively. In 2019 volunteered to re-build Rutherglen Tennis club web-site
(One of Scotland's most prominent clubs winning Scotland’s Tennis Club of the Year 2016 & 2017 and has 450 Members)

During 2020 lockdown, I developed the app to automate the membership process for new members and renewals. Developed web-site to process all membership applications and renewals to remove massive administration overhead

Having managed 450+ memberships (renewals and new application) every year for last three years, we have in-depth knowledge of the amount of effort administering, chasing payments, monitoring who has paid, checking monthly standing orders, replying to new members, joining instructions and making sure the money is in the bank. Having 25+ years experience designing web, database, payments and reporting systems mainly for banks, we decided to make it simpler for golf clubs to have:-

Nicer website (most golf and tennis club sites are terrible)
Simpler way for members to apply for membership online
Simpler way to pay for memberships
Simpler way to manage direct debits, standing orders, cheque and report on who has paid. Simpler way to pull all the systems, apps, forms and emails together
So that 99% of the handling of memberships is automated.

The nooQ payment system has enabled us to efficiently manage the renewal process not only at the ‘renewal date’ but also every month on a rolling basis. We spend less than an hour a month now managing all bills and payments with nooQ automating raising and sending bills with attached payment solutions, applying payments as received and automating overdue account chases.

As well as reducing management time it has improved our accuracy. I am now confident in giving the Board accurate up to date numbers. I can also reassure them that bills are sent and debtors managed according to our system without anyone falling through the net. As well as chasing the overdue payments, nooQ will automatically restrict members access to card balances and tee bookings if they fall a month in arrears and flag this up to me. That allows us to automate our credit management system at a time where there is a possibility of a significant increase in members who pay monthly considering their options.
There is also the added benefit of having our updates reconciled automatically from Club v1 into our accounting package Quickbooks. We now have all nominal level categories aggregated accurately for all charge items from Club v1 uploaded in minutes for our accounts.


One other key benefit it that nooQ Golf allows us to offer recurring card payments or Direct Debits without having to charge the end user (member) interest and fees but also without the club taking on the burden of FCA regulations.

This is a huge benefit to our members and through the integration with Club V1 it happens without any intervention from staff on a monthly basis.
As well as reducing management time it has improved our accuracy. We now fully trust the financial reports we present to the board.

nooQ Golf has taken managing membership renewals to a new level by automating all of the elements that were previously reliant on time consuming and inaccurate human intervention. As well as sending the bills and flagging up any errors in those bills, it has a simple click through solution to allow members to make payments. It then automatically applies those payments to Club v1.
This is further enhanced by a simple but comprehensive reporting system for under payments or non payments. I can instantly see who owes what and I can send or resend the bills to get them up to date.
David and Graeme have been a pleasure to work with so far. They understand not only the technical and programming side of the business but also the regulatory elements that can be so complex for a golf club to manage when offering different payment solutions.
They have readily made adjustments to the system and our interaction with it to ensure it provides everything we need in a user-friendly interface.

Challenges of Reconciliation
how we used to do it previously

50% of renewals were managed through the Club V1 database at a set date in July. The remaining 50% were monthly on the anniversary of their joining.
We used the built in system in Club V1 to change prices, raise bills and email the bills to members. This worked relatively well to send the bills but if failed to highlight any errors on the bill and led to complicated reconciliations upon receipt of payment. We had to manually reconcile a number of payment solutions (Direct Debit, Bank transfer, Card in the shop, cheques etc.). This complex reconciliation meant that staying on top of payments received and more importantly payments not received was a slow process and prone to human error.

How to avoid cardholder not present risks
However, for many golf clubs and pro shops debit & credit card payment security is an issue when taking orders over the phone or via email. A May 2020 report stated 55% of credit card purchases took place via card not present (CNP) transactions. Unfortunately, this increasing trend has also resulted in more CNP fraud.
Most golf clubs still take payment details over the telephone. It is hard not to, as easier solutions have not been available.

What is a card-not-present transaction?
A card-not-present (CNP) transaction occurs when neither the cardholder nor the debit/credit card is physically present at the time of the transaction. It’s most common for orders that happen remotely — over the phone or by internet, or email.

A transaction is only considered to be “card present” if payment details are captured in person, at the time of the sale.
Protecting cardholder data

Debit & credit card fraud remains a major problem that costs merchants, consumers, and financial institutions billions of dollars every year. Many factors are involved in protecting cardholder data, and the risks are different for card present and card not present transactions.

While chip-enabled EMV cards have largely delivered on their security promises for card present fraud, chip cards don’t have the same effect on fraud that occurs on card not present transactions.

When cardholder data is stolen, there may be an immediate financial loss, compliance failures may result in fines, and a company’s brand can be seriously tarnished in the eyes of customers – sometimes beyond repair.
Card-not-present (CNP) fraud
As more and more consumers choose the convenience of buying online over traditional brick-and-mortar retailers, CNP fraud continues to become a larger problem.

CNP fraud has risen sharply during the COVID-19 pandemic. CNP statistics show that it is THE major source of card fraud by far.

Payment Card Industry Data Security Standard (PCI-DSS)

The Payment Card Industry Data Security Standard (PCI DSS) stipulates that companies should have systems in place to safeguard the credit and debit card details of customers.

The PCI Data Security Standards provides a good overview for protecting cardholder data (see #7 for detailed information on PCI).
