Sent the wrong attachment? Or sent it to the wrong person?

With a standard email, the sender has limited control once the message has left the outbox.

Mailock lets senders revoke access to protected content after sending. Message tracking also helps establish whether that content has been accessed, so the team can decide what to do next.

Revocation cannot undo what somebody has already saved or seen. But it gives the sender a containment option when a sensitive communication should no longer remain available.

ICO guidance says organisations responding to a personal data breach should try to contain the incident and recover affected data where possible.

Revocation does not replace a breach-response process but it does give teams a practical control that can be used immediately.

A portal earns its place when customers have a reason to return.

Account history, self-service, regular transactions, and ongoing administration can all justify another login. Sending somebody one document usually doesn’t.

For a one-off statement, report, policy update, or request for evidence, the customer mainly wants to complete the task.

That doesn’t have to mean using standard email for sensitive information.

But it does mean starting from the channel the customer already uses, then adding the protection, recipient checks, secure reply route, and access record the communication demands.

Enterprise data rarely stays inside the enterprise.

The DSIT UK Business Data Survey 2026 found that 40% of large businesses handling digitised data share it outside their organisation.

In finance and insurance, that figure is 47%.

The reasons given are mostly ordinary operations: delivering services, communicating with customers or staff, running HR and finance, and meeting legal or regulatory duties.

Every one of those hand-offs creates another chance for sensitive information to be misdirected, copied, or separated from the controls it had at source.
