Introducing our new client, Meddygfa Tywi!
Named after the local river Tywi, the GP surgery provides essential medical care to 3,500 patients in Nantgaredig and surrounding towns.
Since the inception of the previous agreement, the surgery have seen a steady increase in patient numbers, however the legacy NEC telephone system on site was struggling to cope with the increased demand.
With an expectation to deliver call stacking and an increased dependency on telephone triage, the surgery were only able to manage 8 concurrent calls. As a result, patients were hearing an engaged tone when all 8 lines were in use causing frustration for both the patients and the practice management team. GP's were also unable to dial out at busy periods.
By introducing Medi-Cloud, the surgery has seen a immediate improvement on their ability to manage calls more efficiently improving the overall experience for both staff and patients. Medi-Cloud has also simplified the process for obtaining key information required for the management team to demonstrate the practice is regularly meeting KPI’s set out by their health board.
The practice now benefits from:
- Easy to use administration web portal – to download call reports, recordings and call flows.
- Unlimited line capacity – no more engaged tone or difficulty dialing out
- Scalable price per user model – facilitates a cost effective growth plan for future growth

A warm welcome to our new client, Coalbrook Surgery!

Coalbrook Surgery is a family run GP surgery that has been serving the local community for over 60 years. Based in Pontyberem, the surgery required an accessible and sophisticated system, that would improve overall patient experience, whilst simultaneously ensuring seamless use for call handlers.

The management team at the practice deemed it appropriate to review the surgery’s telecoms for necessary improvements. After open discussions with our sales team, to understand more about their current system, it was evident from day one that Linc’s Medi-Cloud product could be tailored to exceed expectations.

A blend of cloud telephony, contact centre technology and proactive account management, now allows the practice to stay one step ahead in providing patients with an overall better experience.

Following an appointment with a dedicated project manager, the below features and processes were implemented:
- Multiple desktop handset training sessions
- Agent Login/Logout function, which allows staff to handle calls more effectively, along with extended ‘wrap up time’
- Professionally recorded automated attendant with appropriate signposting in both Welsh and English to help direct patient calls to the correct individuals
- Dedicated routing service which positions vulnerable and palliative care patients at the front of the queue
- Optional mobile applications for remote work and home visits

Woodlands Medical Centre!

Woodlands Medical Centre in Ely, Cardiff, provides primary care services to 8,800 patients. They needed a flexible and scalable phone system that would improve their patient access to meet General Medical Standards funding requirements.

Woodlands Medical Centre were experiencing continuous problems with the legacy telephony solution, which resulted in patients regularly hearing a busy tone, long wait times and administration challenges when obtaining call data for General Medical Standards. Therefore, the practice needed to increase access for both incoming and outgoing calls and implement modern-day features to improve both patient and staff experience.

Following various referrals and open discussions around the requirements, Woodlands Medical Centre chose Linc Group to provide our sophisticated Medi-Cloud telephony solution. A blend of cloud telephony, contact centre technology and integration with their patient information system enabled the practice to see immediate improvements, from day one.

Some unique features and improvements include;
• Unlimited line capacity – no more busy tone!
• Advanced call routing – Increased queue capacity, signposting, on hold announcements and optional call back service

As healthcare communication systems are a critical service, it is essential that a migration to a new solution needed to be a well-engineered process without any downtime. A well thought approach and open discussions with the management team meant the migration was successful and completely problem free with zero downtime.

New partnership!

Linc group are delighted to announce a new partnership with Crosshands and Tumble Medical Group.

With the demand for their GP services growing significantly, the practice approached Linc Group to conduct an audit of the existing setup.

It was quickly identified that the existing legacy NEC telephone system was not fit for purpose. The restriction on the number of lines into the surgery was causing patients to receive a “user busy” message when calling in, and GP’s were unable to make calls at busy periods. Furthermore, the surgery suffered from a lack of support from their existing provider, which lead to an inconsistent and unreliable call routing and reporting set up.

Following a thorough and collaborative project management process, the Group now benefits from the following Medi-Cloud features;
• Unlimited line capacity
• Advanced call routing – Increased queue capacity, on hold announcements/signposting
• Ability to route patients with complex or vulnerable backgrounds to the front of the queue
• Agent log in/out functionality – allows staff to monitor workload more efficiently
• Accurate and Scheduled Call Reports
• Linc Medical Wi-Fi Coverage (across 2 sites)

Linc Telecom is thrilled to welcome The Penylan Surgery onboard!

Located in the Cardiff area, The Penylan Surgery is responsible for providing care to 10,000 patients.

Penylan Surgery, like many GP surgeries, were struggling with the increasing demand on their phone system, which was dated and inflexible. This traditional telephone system was not fit for purpose, having a limited amount of phone lines and thus leaving patients hearing the dreaded busy tone. Additionally, the system dropped in and out at times, and the management, from an admin, call recording, and reporting standpoint was difficult.

Linc Telecom were approached by the surgery following a reference from another surgery in Cardiff North Cluster. Linc had been in discussions with the surgery to define their success criteria and requirements against what the staff and patients needed in order to overcome the current challenges. Once this criteria was determined, Linc built a bespoke Medi-Cloud proposal and invited The Penylan Surgery to a client site to see the recommended solution live. Following this, The Penylan Surgery opted to partner with Linc Telecom to implement a 22 user system.

The Penylan Surgery now has a state-of-the-art phone system that works for both staff and patients. Upon completion of the project, Penylan had a true cloud solution with no limit on phone lines, so that patients never hear a busy tone. Their management platform for call recording services, admin tasks, and reporting features can be accessed via a single user interface from anywhere with an internet connection.

The Clifton Surgery is a Cardiff based practice caring for over 8,000 patients. With ever increasing telephony demands, the Surgery was seeking a partner that could assist with improving caller experience, staff productivity and assistance in hitting management targets for patient response times.
