Shadow AI is becoming the new Shadow IT - and most businesses don’t realise it’s already happening.
Recent UK research shows that 68% of organisations say their teams are using unapproved AI tools at work.
Not because staff are reckless.
Not because they’re ignoring IT.
But because AI helps them do their jobs faster – and the tools are only a browser tab away.
We’re seeing it used to:
- Rewrite emails
- Summarise meeting notes
- Review documents and spreadsheets
- Draft proposals and reports
On the surface, it looks like harmless productivity.
The risk starts with what gets pasted in.
Once business or customer data goes into a public AI tool:
- You no longer control where it’s stored
- You don’t know how long it’s retained
- You can’t prove what data left your environment
- You have no meaningful audit trail
That makes Shadow AI more dangerous than traditional Shadow IT – especially for organisations handling customer, financial, or personal data.
The uncomfortable truth is this:
- Banning AI doesn’t stop it.
- It just drives it underground.
The businesses handling this well aren’t blocking or scaring people.
They’re doing three smarter things instead:
1️⃣ Protecting their data, so sensitive information can’t accidentally leak
2️⃣ Giving staff a clear, approved way to use AI for work
3️⃣ Setting simple guardrails, rather than blanket bans
AI isn’t the problem.
Uncontrolled AI use is.
Shadow AI is already inside most organisations – the question is whether it’s happening safely or silently.
If this is something you haven’t looked at yet, it’s probably worth a conversation with us.
