We are pleased to see the EarthCape user guide at Royal Botanic Gardens, Kew Gardens now available publicly through the link shared by Alan Paton and Udayangani Liu.
This guide is the result of several years of close work with Kew’s Collections and IT teams to configure EarthCape around real institutional workflows and collection management practice. It also offers a clear public example of the kind of work we do: setting up EarthCape in a way that fits the operational reality of each organisation.
It also gives a useful overview of the breadth of EarthCape CMS in a botanical context, showing the range of collection management needs the system can support in practice.

Alongside the 8.5 million botanical and mycological items of the Science Collections, the Royal Botanic Gardens, Kew has an extraordinary wealth of living plant collections across two sites, Kew Gardens and Wakehurst, in the United Kingdom. A key feature of botanic gardens is that the living plant collections contain accurately identified, documented, and labelled collections of plants for one or more of the purposes of conservation, reference, research, interpretation, education, and pleasure. To fulfil this role effectively and to support cutting-edge research at RBG Kew and beyond, a significant milestone was achieved recently by integrating previously isolated living collection data with science collections by migrating them to RBG Kew’s new Integrated Collection Management System (ICMS) supported by EarthCape Oy software, where data for 12 distinct collections are managed in one system. However, desktop version of ICMS poses challenges, as curating living plants mostly involved outdoor activities. Mobile technologies are becoming an increasingly integral part of recording biodiversity data. We present, our experience, insights, best practices, and knowledge on developing an interactive mobile application, so that horticulturalist can capture data and images on spot while engage in their outdoor tasks.

Integrated Collections Management System (ICMS), built on EarthCape Oy software, centralizes data types that are common across all the collections, such as Object records and Occurrences, but provides configurable views on that data for each collection. The system also provides additional collection specific data records, a dedicated tool for data analysis and a mobile application to enable data gathering in gardens and eventually in the field

15 database systems and 4 years later, Kew Gardens collections are integrated within EarthCape. It has been an absolutely fantastic experience both for the advancement of the system and for me personally.
