Approving an invoice quickly – it's possible in SAP Business One, even without extensive configuration. 🧾

We're all familiar with the approval procedure in SAP Business One. Once configured, it's a handy tool for navigating documents (especially invoices) through the approval chain. When all approvals are in place, the document can then be booked and paid. But here's the catch: configuration comes first – and that's where the challenge lies. Especially for smaller businesses, extensive configuration simply isn't worthwhile when processing volumes of documents isn't high. It often seems easier to present the original receipt to the person responsible for signing it, as was previously the case.

With the document manager from cks.DIGITAL 4.0, however, these approvals can be obtained directly within SAP Business One – digitally, logged, and independent of location and time. 💡

Submit an invoice, a delivery note, or any document via the document manager to the respective person for approval. The recipient can review the document on screen and then approve, reject, or annotate it. The sender then receives it back in their document manager and can continue their work.

Aren‘t A/R invoices already archived in an audit-proof way in SAP Business One?

So what’s the story with A/R invoices? If documents generated with such as A/R invoices are not printed and filed, aren‘t they nevertheless archived electronically in an audit-proof way?

Spoiler alert: they‘re not!

But let’s take a closer look. If an A/R invoice is added and posted in SAP Business One, it can no longer be changed. So far, so good. You can search and view the invoice information for inspection purposes and the PDF document can be reproduced at any time.

So what’s the problem?

A problem can occur if changes are made to your own master data. If your company changes address, the new address is of course added to SAP Business One. Or if your company’s name has changed, the master data is again updated in SAP Business One, which might also include a change of logo.

Newly created invoices and delivery notes now appear with a new address and new logo. However, older invoices are also given the new address and logo because company-specific master data is not stored in the SAP document. If a new print job is initiated, the company details are pulled again from the database and applied to the document.

Only with a digital archive such as cks.DMS from ck.solution can outgoing documents be reproduced via SAP Business One in an audit-proof way. To achieve this, a PDF is stored in the archive when the very first print file is created. This file can now be printed out again at any time in the future, even if there has been a change to your own master data. If any changes are made to this file, they are automatically saved as a new version in the digital archive.

Preparing a summit shouldn't be fun!

Well, no one would say that, especially not us. Right now we're perparing our little race cars for their usage at the SAP Partner Summits for SME 2023 in Panama City and Vienna step by step.

Step 1:
The race cars have to look good for the racing at the Summits.

For that reason the old paint had to be taken off previously and needed to be replaced by the primer. Now, we're waiting for the primer to dry in order to give the race cars our favoured design.

Next week, we'll continue with step 2.

It’s getting serious. And about time too!
Development of our new automatic invoice capture solution cks.ADC Pay-as-you-go is almost complete. What started approximately two years ago as a simple database connection and clear user interface for SAP BTP Document Information Extraction (which we gave the working title cks.ADC Quickstart) is now almost ready for release.

First we want to check the Add-on from top to bottom and we’re looking for beta testers to help us to do this.
