If January is your biggest enrollment month for your programs, you can't wait till the end of the year to fix your delivery capacity.

The January rush doesn't create new work.

It takes all the work your team already does and stacks it on top of itself.

A custom GPT can know your entire coaching framework and still fail to deliver your coaching program. I learned this the hard way.

I built one to reduce my own coaching workload. It could run clients through my process, give them feedback, and even produce an assessment I could review.

The problem?

I still had to remember to ask clients whether they used it, and I still couldn't see what was happening between sessions.

A GPT can answer when your client asks.

An app can know where she is, remember what she's already done, guide her through the next step, store her history, and show your team what's happening across the program.

That doesn't mean every coach needs an app.

But if you've already built a GPT and you're still dealing with the same client questions, the same manual work, and the same coaching hours, rebuilding the GPT probably isn't the answer.

If your framework already tells them what to look for, your coaches are spending hours applying your expertise instead of actually using it.

And that creates a nasty scaling problem:

More clients → more submissions → more review hours → longer queues → more coaches.

Meanwhile, the work that actually requires your coaches’ judgment keeps getting pushed further down the list.
The answer isn’t to remove your coaches from the client experience, but to stop using them as the delivery layer for every repeatable part of your framework.

Your client asking ChatGPT for advice at 11pm isn’t the problem.

The problem is that your program didn’t know she needed help.

She submitted her check-ins.
She showed up to calls.
She completed the modules.
Everything looked fine.

Meanwhile, she was quietly questioning whether your program was working for her.

If the answer is already in your framework, your coach shouldn't have to manually:

→ read every check-in
→ interpret the same patterns
→ write the same explanations
→ rebuild the same types of plans
→ repeat the same feedback

That isn't the part of coaching you're paying them for.

You're paying them for the moments where the framework isn't enough.

• The client whose numbers look fine but something is clearly off.
• The client who needs a different approach.

Doubling your client roster shouldn’t automatically mean doubling your team.

But if every new client creates more: → reviews → feedback → assessments → content/assets to create → things for your co-coaches to track
then eventually, someone has to absorb that extra work.

Usually, that means hiring.
Or changing the way your program is delivered.

But there’s another option: look at the work your team is doing manually and identify what could be handled by software instead.

Went live today on turning your custom GPT into an app. Here's the questions that came up.

Does it still run on ChatGPT or Claude underneath? Yes, for the parts that need it. Anything that generates or thinks connects to the model. But check-ins, form submissions, and the simpler features don't need an AI call every time, so those are just built into the app, and your running costs stay low.

I have 3 GPTs; is that 3 apps? It depends on the audience. Resume generation and interview prep are related work for the same client, so that's 1 app with 2 features. A GPT for your mastermind and a separate one for your 1:1 clients might be 2 apps. We figure that out in discovery, or the assessment in my bio gives you a first answer.

Web app or mobile? I recommend web to start. If your clients need daily practice, push notifications, streaks, that kind of thing, mobile is the better fit. If not, web gets you there faster.

Do I have to share my GPT instructions? I need to see it; nobody else does. My agency is the only set of eyes on it and we sign agreements covering your IP and your client data.

What if my process changes? You can edit your own prompts inside the app and every version is saved, so if you don't like a change, you roll it back without calling me. Bigger changes to how the app works go through the retainer or an update build.

How much of my time? Heavy at the start while I pull the process out of you, then check-ins. When it's ready for testing, plan 2-3 hours a week. At rollout, you get your people onto it, and I'll prepare the guides and resources for them.

I already have Airtable. You built a GPT because Airtable couldn't do the thing, so the app is the layer on top. It can write into your Airtable, or you can use the admin dashboard that comes with every build.

I've been designing transformation experiences since before I knew that's what I was doing.

AIESEC first - talent management and organizational development across 3 countries. Designing the experience, delivering it, measuring whether people actually changed. Then product management for 8 years. Then coaching - accountability, career transitions, helping immigrants land PM roles.
