AI agents are changing what businesses can automate.

Instead of simply answering a question or generating content, an AI agent can take a task through multiple steps, work with different systems, gather information and keep a process moving.

Think of things like handling routine requests, gathering information for a report, moving data between systems or monitoring a process and flagging something that needs attention.

But there’s a catch: automating a messy process doesn't make it a good process.

The real opportunity starts with finding the right problem to solve, figuring out a better way to handle it, and then using AI where it can make a meaningful difference.

AI is the tool. The business problem comes first.

As we head into the Thanksgiving long weekend, it's a good time to appreciate the things that don't always make it onto the business dashboard.

The people who solve problems before they become bigger problems.

The colleague who always jumps in to help.

The clients who trust you with important work.

The small wins that rarely get celebrated because there's already another deadline waiting.

Business moves quickly. It's worth pausing to recognize the people who keep it moving.

We're grateful for our clients, colleagues and community.

Wishing everyone a very happy Thanksgiving.

We've all opened a new platform and immediately been hit with a wall of pop-ups explaining where everything is.

The intention is good: help the user and prevent support questions.

But too much guidance can actually make the product feel harder to use.

When we look at onboarding and support data, the confusion is often concentrated around a few specific steps. Instead of covering the entire product in instructions, those moments deserve the attention.

The better question isn't:

"How can we explain more?"

It's:

"Where does the user actually need help?"

Good onboarding gives people room to explore, then steps in when they're genuinely stuck.

👉️ Comment INTAKE below, and I'll send you a link to book a discovery call. Let's identify which onboarding friction points are creating unnecessary user confusion.

You don't have a scaling problem. You have a playbook you refuse to retire.

The spreadsheet that helped you manage the business at eight people might now be tracking quotes, clients, commissions and onboarding.

The founder who used to approve everything might still be sitting in every approval chain.

And the onboarding process that once worked because everyone knew how things were done may now depend on institutional memory.

None of these systems were necessarily wrong. They were built for a different stage of the business.

The mistake is assuming that because something worked before, it needs to keep working forever.

As a company grows, it's worth mapping what your existing systems actually do today and identifying which ones still carry their weight.

Then retire them gradually, one process at a time, with clear measures showing whether the replacement is working.

Scaling isn't always about adding more. Sometimes it's about finally letting go of what got you here.

👉️ Comment TRANSITION below and I'll send you our phased transition framework, so you can map which systems to retire and which to keep as you scale.

October is here, which means Q4 is officially underway.

And those projects we've been saying “we'll get to later” are starting to look a little more urgent.

Instead of trying to fix everything before the end of the year, pick one thing that would genuinely make work easier for your team.

A process. A system. A project that's been sitting on the list.
Start there.

Let's make the last quarter count.

Most legacy platform reports are good at answering one question:
How much are we spending?

Maintenance. Support. Licensing. Patches. Internal resources.

But there's another question that often gets missed:
What are we losing because the platform can't keep up with the business?

Maybe your team has had to turn down customer requirements. Maybe a feature your sales team wants to offer takes months to build. Maybe competitors are moving faster because their systems can support capabilities yours can't.

Those costs rarely appear in the usual technology reports.

A better picture comes from putting direct platform costs alongside things like missed opportunities, delayed launches, lost capabilities and the time your team spends working around the system.

That's when the conversation changes from "Can we justify a migration?" to "What is staying actually costing us?"

👉️ DM KPI and I'll send you a link to book a discovery call. Let's discuss how to build a clearer picture of your legacy platform's true business cost.

30-day rollout can look like a success on paper while creating a six-month adoption problem. The issue is often the rollout itself.

Four things are easy to overlook:

No defined learning period. People are expected to become proficient almost immediately.

One big launch announcement. Knowing a new platform exists isn't the same as understanding what changes in your day-to-day work.

Login numbers treated as adoption. A person can log in, get confused, and leave. The dashboard still counts that as activity.

No adjustment points. If adoption isn't happening, there needs to be a planned opportunity to change the approach rather than simply pushing harder.

The platform needs a chance to succeed before we decide whether it actually works.

👉️ Comment INTERFACE below and I'll send you our change management rollout template so you can design the adoption runway your next deployment needs.

AI can make work faster. It can make some work cheaper, too.

But that doesn't mean every AI implementation is a good investment.

Token usage, API costs, human oversight and other hidden expenses can change the equation quickly.

So when does AI actually make financial sense?
We explore that question in our latest blog.

AI was supposed to make some work cheaper, and in many cases, it does. A company can use AI to draft content, analyze data, write code, answer customer questions and handle repetitive tasks in seconds. This, in turn, can free people to focus on work that actually requires judgment. But there is a les...

You documented the process. So why does the team still improvise?

It may not be a discipline problem.

Often, the documentation is simply describing how work happens today, including all the exceptions, workarounds and inconsistencies that have built up over time.

That creates a document, but not necessarily a process people can follow.

A better starting point is to design the process you actually want the team to use.

That means defining the sequence, assigning clear ownership, agreeing on what "complete" means, and making handoffs obvious.

Good documentation shouldn't just tell people what happened in the past. It should make the right way forward easier to follow.

👉️ Comment LAUNCH below and I'll send you the link to book a discovery call so we can help turn process documentation into a clear, actionable operating system your team actually follows.

Hiring more people should help a team breathe a little easier. But sometimes the opposite happens.

The new hire arrives and suddenly there are more meetings, more Slack messages, more check-ins and more people involved in getting the same work across the finish line.

Three things are often behind it: unclear ownership, overlapping responsibilities and handoffs that were never properly defined.

A new person can only absorb work when the workflow tells them where that work belongs. Otherwise, they end up absorbing the uncertainty too.

Before making the next hire, take a look at your busiest workflows. Where does work change hands? Who owns each stage? Where do people have to stop and ask for clarification?

👉️ Comment CONNECT below and I'll send you our handoff and ownership audit to pinpoint where new hires are creating more friction instead of more output.
