Is your current phone system destroying your business without you realizing?

1. Hearing Busy Signals – Most callers who hear this will not be calling back. There are methods like sending the caller to a voicemail or hearing a IVR/automated greeting with options.

2. No Professional Greetings – First interaction when someone calls in is an important first impression. Some IVR set ups give too many options to choose from and can be overwhelming for a caller. Or there aren’t any options to let the caller speak to a live person. This can be frustrating for someone to call in.

3. Call Flows are Inefficient – If all the phones ring and everyone assumes that someone else will take the call, this is inefficient. Calls can be redirected to a second group of people if there is no one available in the first Ring Group.

4. Employees must work at their desk – Sales reps may be on the road often and may be hard to reach and miss out on important calls. Phone systems should give you the freedom and mobility of keeping everyone connected whether you are out of the office, working from home, or on vacation – if that’s what you choose to do.

5. Vulnerability to system outage – Do you have a fail-over plan if there was a system outage? Most phone service providers who manage the phone system has a backup fail-over plan and inbound calls can be forwarded to a cellphone until their system is back up and running to ensure no calls are lost.

6. Overlooking Basic Security – VoIP attacks can happen, what precautions do you have set up to ensure this does not happen? Some Phone providers have VoIP attack prevention plans in place.

Call Recording is a great feature to help evaluate agent call performance and for training purposes. It is another great tool to help keep track of a conversation that may have a lot of details that cannot be missed. Great way to review a conference call that happened a month ago!
