Software rollouts are decided by the fourth person you train on the system.

The first three will figure anything out. They sat in on the demo, they care whether it works (or not), and they'll push through a clunky screen if needed.

Number four didn't attend anything, doesn't care which system won, and needs to raise one request in between two other jobs.

If that person needs a training session, the rollout has a ceiling. If they can work it out from the screen, it spreads on its own.

Dr. Ali Yallah, CIO at River Edge, shares how Tradogram landed with his team.

Quick question!

How much of last week did your team spend moving information between a supplier and your own finance department?

Banking details. A tax form. An insurance certificate that expired. A new contact because the account manager changed again.

None of that is procurement work. It all lands on procurement because it's the only team talking to both sides.

The cost isn't the email itself. It's the hour that email took from supplier performance, contract terms, or the sourcing decision that would have actually saved money.

We wrote about what belongs in a shared supplier record, and who should own it: https://www.tradogram.com/blog/vendor-management

The most expensive purchase order is the one that never needed to exist.

Nobody negotiated badly. The price was fine, the supplier was approved, the approval was legitimate. The only trouble is that twelve of the same item were already sitting on a shelf at the other end of the building.

It never shows up in a savings report, because on paper nothing went wrong. The person raising the request couldn't see the stock. The person approving it could see even less.

Then you pay to store it, and eventually write some of it off.

Ask five people in the same company where the purchasing process lives, and you'll get five answers.

Some of it is in email. Some is in a spreadsheet nobody owns. A surprising amount of it is in one person's head.

None of that is a problem while everyone's at their desk. It becomes one the week that person is somewhere with no signal.

Plenty of companies know that their purchasing process is held together with duct tape and bubblegum. They stick with it anyway, because fixing it sounds worse than living with it.

That's a fair calculation. If your mental picture of "new system" is six months, a consultant, and training sessions for everyone, of course it drops to the bottom of the list.

And the team who'd run that project is the same team already buried in the manual work.

Most people already know the one part they'd fix first.

At 40 employees, having one person approve everything is workable. You get consistency, and that person catches issues before they become a problem.

At 250 people, that same setup means a $400 order for printer paper sits in the same queue as a $40,000 one, waiting on the same person to get through their inbox.

Nothing went wrong. The company outgrew the arrangement without anyone announcing it.

Teams that handle this well don't approve more. They approve differently. Routine purchases move. Exceptions get real attention.

Here's what that looks like set up: https://www.tradogram.com/approval-workflow-automation

A lot of purchasing processes work fine… until the person holding them together takes time off.

Maybe the approvals live in email. The supplier list is in a spreadsheet. And one person just knows how everything is supposed to work.

That’s not really a process. It’s a dependency.
