A contractor told me last week: "My quotes keep going to junk mail, and my customers can't figure out how to accept them."
So I dug into his quoting software. What I found made my jaw drop.
His quotes were going out from a no-reply address shared with thousands of other contractors. Straight to spam. And Gmail was adding a suggested reply button to his quotes that literally said "I accept the proposal."
His customers were tapping it.
The acceptance went to the no-reply address and vanished. Nobody ever saw it. His customers were saying YES to jobs, then sitting at home waiting for a call that never came. He was losing booked work and had no idea why.
Here's what we built him in one day:
His admin changed exactly ONE thing about her routine: she now emails the finished quote to a special address instead of the customer. That's it.
From there, AI reads the quote, she clicks one green approval button, and the customer gets a clean, branded quote from HIS OWN company with a big green Accept button under every option.
One tap and the owner's phone buzzes: who accepted, which option, what price, and the number to call.
Customer goes quiet? Automatic friendly follow-ups on day 2, day 5, and day 10 that shut off the moment they respond. Every quote lands on a board that shows his real closing ratio in dollars.
Day one results: three quotes accepted. $5,300 in booked work. One acceptance came in at 6:37 at night, while everyone was at home having dinner.

For the tech-curious, here's what's under the hood: an email routing rule catches the forwarded quote and hands it to a small Cloudflare Worker, a little program running in the cloud 24/7 that costs almost nothing. The Worker grabs the quote PDF, has Claude AI read it and pull out the customer, the job, and every pricing option, then rehosts the paperwork on the company's own domain so nothing trips a spam filter. From there GoHighLevel takes over: automated workflows send the branded quote, run the follow-ups, fire the text notifications, and drop every quote onto a pipeline board that tracks the closing ratio in real dollars. No new software for the client to learn. No double data entry. The whole thing bolts onto the tools they already use.
