✅ Project management: ClickUp is a great tool for task status, workload, and/or completed work

✅ Project management AND billing needs: Big Time or Workbook are both excellent choices

✅ A CRM: Hubspot or Nutshell have great engagement reporting and wonderful list segmentation features

✅ Engagement and fundraising campaign tools: Keela offers built-in tools to report on stakeholder or donor engagement and fundraising campaigns

Let's look at a real example of a client process that needed updating.

⏳ Donations came through a Squarespace web cart
⏳ Charitable receipts were manually created from a ⏳ Word document that was changed with the donor's name and details each time
⏳ Receipts were individually emailed or mailed to the donor
⏳ Transactions were manually entered into a spreadsheet
⏳ Spreadsheet transactions were periodically entered into the accounting program

Is this approach easy and efficient? Um, no. Is it something team members would want to put off? 100% it is.

Our solution:

💡 Moved to a donor management software that AUTOMATICALLY sends receipts to every donor and records every transaction
💡 Defined the use case and got user agreements from each member involved in donor development. INCLUDING the CEO!
💡 Made a plan to grow into the other donor management tools that came with the platform

The outcome? The administrator who previously managed donation receipts was able to take on more donor development activities and has become a Super User for the new software!

Remember: Your systems should support you, not get in your way.
