Use this practical checklist to help evaluate your current security posture and identify areas that may need attention:

✅ Network security controls: Firewall or equivalent installed and configured with documented, reviewed rules

✅ Default credentials: All vendor-supplied default passwords changed on every device and system before use

✅ Data minimization: Cardholder data inventory completed; data minimized and encrypted where stored

✅ Transmission encryption: Encryption in place for all cardholder data transmitted over open networks

✅Malware protection: Antivirus and anti-malware software installed, active, and regularly updated on all relevant systems

✅ Patch management: All software, operating systems, and firmware kept current with security patches

✅ Access controls: Access to cardholder data restricted to those with a documented business need

✅ Unique IDs: Unique user IDs assigned to all individuals with system access; no shared logins permitted

✅ Multi-factor authentication: MFA enabled for all access to the cardholder data environment

✅ Physical security: Physical access to payment systems and data storage restricted and logged

✅ Audit logging: Logs enabled, reviewed regularly, and retained for a minimum of 12 months

✅ Vulnerability scanning: Quarterly scans completed by a PCI SSC-certified ASV

✅ Policy documentation: Security policies documented and communicated to all relevant staff

✅ Staff training: All personnel with access to cardholder environments trained on their security responsibilities

Many small and mid-sized businesses don’t realize they need to comply or aren’t sure if they already do, which puts customer data, revenue, and reputation at risk.

This guide explains what PCI-DSS is, who it applies to, and what it takes to stay compliant.

PCI DSS applies to any business that handles cardholder data, regardless of size, even if you use third-party payment systems.

Many small businesses assume it doesn’t apply to them, but that mistake can lead to serious security and compliance risks.

Understanding where your responsibilities start and how your systems are set up is key to staying compliant without overcomplicating your IT.

The four PCI-DSS compliance levels...

Level 1️⃣ :
• Applies to businesses with over 6 million Visa/Mastercard transactions annually, or any that have had a data breach
• Requires an annual on-site audit by a Qualified Security Assessor (QSA)
• Requires quarterly network scans by an Approved Scanning Vendor (ASV)

Level 2️⃣ :
• Applies to businesses with 1 to 6 million transactions annually
• Requires an annual Self-Assessment Questionnaire (SAQ) or Report on Compliance (ROC)
• Requires quarterly ASV scans

Level 3️⃣ :
• Applies to businesses with 20,000 to 1 million e-commerce transactions annually
• Requires an annual SAQ
• Requires quarterly ASV scans

Level 4️⃣ :
• Applies to businesses with fewer than 20,000 e-commerce transactions annually, or up to 1 million total transactions
• Annual SAQ is recommended
• Requires quarterly ASV scans

1. Install and maintain network security controls. This means setting up firewalls and controls to block unauthorized access and reviewing them regularly.

2. Apply secure configurations to all system components. Change default settings and keep all systems securely configured over time.

3. Protect stored account data. Store only what’s necessary and use encryption to keep card data unreadable.

4. Protect cardholder data during transmission. Always encrypt card data when it’s being sent across networks.

5. Protect systems from malicious software. Use up-to-date antivirus and malware protection on all systems handling card data.
