When a document gets stuck waiting for approval, is AI the right fix?

Maybe it can help summarize the information. Maybe the team simply needs an approval deadline and a backup approver.

Thinking about your own business, which recurring delay needs better judgement, and which one needs a clearer process?

Your estimator may explain a job better than they write about it. Record a short, nonconfidential explanation. Let AI organize the draft. Keep the estimator's observations and check every added claim.

Follow one project update from the field to the office.

Write down who records it, where it goes, and who turns it into a customer message. That is where an AI discussion becomes practical.

A draft summary might help. A missing handoff won't fix itself. Give every update an owner and an agreed destination first.

Hi, I'm Brian Joudrey of bNetworked. I help Atlantic Canadian businesses choose practical uses for AI and give their teams a clear way to adopt them.

Does the same job update get typed into an email, a spreadsheet, and your project system?

For a small construction or engineering team, that repeated entry is worth examining before buying another AI subscription. Sometimes a simple connection between systems is enough.

Where does your team enter the same information twice? Share the handoff below.

The fastest reply in the world is useless if it's wrong.

AI makes it possible to answer every inquiry in seconds. For a busy clinic, brokerage or contractor, that sounds perfect.

Speed does matter.

But think about what a wrong answer costs. A patient told the wrong hours.

A client quoted coverage you don't offer. A homeowner promised a start date nobody agreed to.

Now someone spends the afternoon fixing it, and trust takes a hit.

Accuracy first. Then speed.

If you're setting up AI to help with replies:
1. Give it approved information only: services, hours, policies, next steps.
2. Tell it what it must never promise.
3. Have a person review replies until you trust the pattern.
4. Update the information every time something changes.

At the end of the day, your success is our success. That starts with getting the answer right.

Would you trust AI to answer your customer inquiries today?

You'd happily let AI help with it.

You're just not ready to hand it over.

That's not hesitation. That's good judgment.

What would you let AI help with, but never fully hand over?

What happens if the tool your team relies on stops working tomorrow morning?

For most owners, the goal with technology is simple. It keeps working.

Staff can reach what they need from the office, the job site or home. Clients get answers.

Work gets done.

AI adds a new wrinkle. Once a process depends on it, an outage or a wrong answer can stop that process cold.

So every task you hand to AI deserves a simple fallback plan:
• How to do the task manually, written down
• Who to call when the tool is down or clearly wrong
• Where the approved templates and information live
• How the team knows it's safe to switch back

It takes an hour to write. It saves a very long day.

Same thinking as a backup for your files. Nobody needs it until they really need it.

Does your team have a plan B for the tools they depend on?

Where's your team with AI right now?

🟢 Curious
🟡 Experimenting quietly
🔵 Using it with rules
⚪ Avoiding it

Which one sounds like your office?

The best AI training for a dental front desk is the reminder they actually send.

Real tasks make it obvious when AI gets it right, and when it doesn't.

What everyday task would you use to train your team?

Ticking "yes" on a cyber insurance form you haven't verified is a gamble with your claim.

Those renewal questionnaires keep getting longer. Multi factor authentication on every account?

Tested backups? Regular access reviews?

Protection on every device?

It's tempting to answer the way it sounds right. Or let the busiest person in the office fill it out in ten minutes.

Or ask AI to help draft the answers.

The problem: if there's ever a claim, those answers matter. An insurer can compare what you said with what was actually in place.

So some things should always have a person checking, no matter how good AI gets:
• Anything you sign your name to
• Anything you attest to an insurer, client or partner
• Anything involving patient or client records
• Anything that commits the business to a cost or deadline

AI can help you organize and draft. It can't verify your firewall.

Before your next renewal, have someone actually check each answer.

Where would you always want a person reviewing the work before it goes out?
