The most useful AI feature might be the ability to decide when not to use it.

Microsoft is giving Teams meeting organizers more control over whether AI features like Copilot and meeting recaps are available.

That feels like a step in the right direction.

For a while, the conversation was centered on getting AI into every workflow possible. Now businesses are asking a better question: where does it actually help?

The goal isn't to have AI involved in everything. The goal is to reduce effort, save time, and make work easier.

Sometimes AI helps do that. Sometimes it doesn't.

Having the choice is what makes the technology useful.

October is Cybersecurity Awareness Month.

Most of the security advice businesses still follow was written for threats that looked completely different.

Passwords were considered strong if they were long. Phishing emails were easy to catch because of bad grammar and obvious fake links. Public Wi-Fi was risky mainly because people shared files over it.

None of that lines up with what businesses are dealing with now.

Leaked passwords get tested automatically across hundreds of other accounts. AI helps attackers write emails that read like they came from a real coworker or vendor. And a lot of damage happens before anyone notices something's off.

Training people to spot threats still has a place. It just can't be the only thing standing between your business and a bad day.

Multi-Factor Authentication, automatic updates, and real-time monitoring catch what people miss, because people will miss things. That's not a failure. It's just what happens on a busy Tuesday.

A lot of businesses haven't touched their security setup in years.

Cybersecurity Awareness Month is as good a time as any to change that.

When a Windows PC develops a serious problem, getting it working again isn't always straightforward.

In some cases, the computer needs to be completely rebuilt. That usually means reinstalling Windows and making sure everything it needs is put back in place before the user can get back to work.

Microsoft is working on a new feature called Cloud Rebuild that aims to simplify that process.

Instead of relying on installation files stored on a USB drive, a PC can download a fresh copy of Windows directly from Microsoft. It can also reinstall the software Windows needs to work properly with the device's hardware.

For IT teams and support providers, that could mean less time spent preparing for a rebuild and a faster recovery process when a PC needs a fresh start.

There's one thing to remember, though.

Cloud Rebuild can help recover Windows. It doesn't replace proper backups of your business data.

Getting a computer running again is only part of the job if the files and information people rely on aren't available when they sign back in.

It's a useful development, especially for organizations looking to reduce downtime and simplify PC recovery, but the fundamentals haven't changed. Reliable backups and a recovery plan are still essential.

We've spent a lot of time talking about AI creating content. What happens when AI starts helping people evaluate information instead?

For years, cybersecurity training has focused on helping people recognize the warning signs of a scam. If an email looked suspicious or a request seemed unusual, employees were expected to rely on their own judgment before taking action.

The problem is that scams are getting harder to spot.

AI is helping cybercriminals create more convincing phishing emails and fraudulent websites that look far more legitimate than they did a few years ago. Many of the obvious clues people used to rely on simply aren't there anymore.

That's what makes developments like Norton's Genie integration with ChatGPT and Claude interesting. Instead of generating content, AI is being used to analyze what you're looking at and identify common scam indicators such as impersonation attempts, pressure tactics, or requests for sensitive information.

That doesn't mean businesses should start copying company data into public AI tools. Security policies, approved platforms, and data protection still matter.

What it does highlight is a growing shift in how AI is being used. Beyond productivity, AI is starting to act as a tool that helps people verify information before they act on it.

With October being Cybersecurity Awareness Month, it's a good reminder that security isn't just about blocking threats. It's also about helping people make better decisions. As online scams become more convincing, having another way to sense-check a suspicious message may prove just as valuable as using AI to save time.

The goal isn't to replace human judgment. It's to help people slow down, ask better questions, and avoid making a costly mistake.

A surprising amount of time gets wasted revisiting conversations that everyone thought were already settled.

People leave the meeting on the same page. Then a week later, questions start coming up about what was decided, who was responsible for what, and whether a particular task was actually agreed to.

Microsoft is addressing that issue with a new Teams update that brings AI-generated notes to in-person meetings. Teams can capture key discussion points, decisions, and action items as they're discussed, creating a shared record everyone can refer back to later.

That's a practical use of AI.

The value isn't in the notes themselves.

It's in reducing the distance between a conversation and the work that happens afterward.

The more time a team spends debating what was agreed to, the harder it is to keep projects moving forward.

A reliable record can reduce follow-up emails, and eliminate confusion around next steps.

The update also includes improvements to chat organization, guest invitations, and additional controls that allow organizations to decide when AI should and shouldn't be involved.

As AI becomes embedded in more workplace tools, the biggest opportunities will come from helping people work more effectively with the information they already have.

Microsoft is adding more flexibility to automatic replies in Outlook. Instead of one generic out-of-office response, you'll be able to create automatic replies based on rules you define, such as who sent the email or what's included in the message.

A customer could receive a different response than a supplier, or an enquiry about a specific service could automatically trigger the right information without someone having to manually send it each time.

It's not a headline-grabbing feature, but it's the kind of improvement that removes a little friction from the workday.

We spend a lot of time talking about AI, but many productivity gains come from solving much simpler problems. Repetitive administrative tasks are a good example. If you're sending the same message over and over, there's usually a better way to handle it.

That doesn't mean every email belongs in an automated workflow. A detailed question, a complex issue, or an important customer conversation still benefits from a personal response.
