This shows up in so many places in life and work... We can talk as if we have the same understanding of a word, but very rarely do! And it causes a ton of disagreement, heartache, conflict, roadblocks, and overall lack of progress.

Programming, Marketing, Problems, Leadership, Theology, Feelings, Psychology, its everywhere.

Before rushing to answer a question or solve a problem, stop and ask: What do you mean by (word)?

Often we need to go back to basics. Challenge every assumption.

At the beginning of a new year.... What is a goal? What do we mean by "do more" or "better"? Why is that important? What is "focus" and "productivity"? Spell it out. And then repeat the process. What is "good" customer?

Steve Psaradellis, CEO of TEBA, recently shared a challenge his team faced: inefficient project delivery and negative efficiency.

Initially, projects were being completed at an average of 130% of the time, meaning they were consistently running over budget. While clients were satisfied with the results, the inefficiency was unsustainable for Steve’s team.

The root cause? A lack of prioritization and visibility into the team's workload.

Here’s what they did to turn it around:

Limited work in progress: By reducing the number of active projects to just five, the team avoided multitasking and ensured they could fully focus on completing tasks efficiently.

Avoided goldplating: They stopped overdelivering beyond the project scope, ensuring resources were used effectively.

Combined project buffers: This allowed them to better manage deadlines and reduce unnecessary delays.

Made work visible: Implementing tools like Kanban boards helped visualize workloads and improve task focus.

The results?

Average project efficiency improved by 58.4%, dropping project timelines from 130% of the time to just 71.6%.

Projects are now completed on time and with an average of 30% of the time to spare, ensuring both happy clients and improved profitability.

By focusing on reducing active projects, avoiding goldplating, and making work visible, Steve’s team successfully transformed their approach to project delivery.
