Another useful update has been rolling out for Microsoft Copilot: Now it can read responses aloud.

Accessibility is important in business, and Microsoft's focusing on making its tools more inclusive. The update helps to empower employees with visual impairments, allowing them to use Copilot by listening.

This new feature is perfect for multitaskers too. Now you can listen to Copilot’s insights while you read reports, answer emails, or even while grabbing a coffee. It’s a smarter way to save time and get more done.

Copilot's new features are making it a must-have tool for businesses today. Whether it’s creating documents, brainstorming ideas, or even designing Word banners and translating conversations, Copilot is making it easier to stay productive.

Are you using Copilot in your business? How do you think this “read aloud” feature could help your team?

Imagine taking a quick screenshot of an invoice for a client, or even a photo of notes you’ve scribbled down in a meeting... and with just a few clicks, being able to magically turn that image into text you can edit.

That’s exactly what the Windows 11 Snipping Tool can do, thanks to its Optical Character Recognition (OCR) feature. And it’s so useful, it could be getting its own keyboard shortcut to make using it even easier.

Snipping Tool is already one of the handiest features in Windows 11. Instead of having to switch between different apps or manually type out text from images, it lets you copy text instantly.

It’s quick, accurate, and perfect for everyday business tasks like updating spreadsheets, drafting emails, or keeping digital records.

Using Snipping Tool has always involved a few different steps. But it’s been reported that Microsoft have been testing a shortcut (Win + Shift + T) that lets you jump straight into OCR mode without having to click through drop-down menus.

It would be great if this feature becomes available, and it’s one to keep an eye out for. Meanwhile, now would be a great time to get to grips with Snipping Tool and see how much time you can save.

Do you and your team already use Snipping Tool? Would a keyboard shortcut for the OCR feature be handy?

Windows 11 is saying goodbye to its “suggested actions” feature.

What’s that?

If you’ve ever copied a phone number or date and seen a pop-up suggesting a call or calendar event, it’s that one.

It was introduced in 2022 and was meant to save time. But Microsoft has decided it’s time for a change.

The feature’s being phased out, possibly because not many people used it. But of course, there’s something else on the way (for some people anyway).

Microsoft is rolling out a replacement called ‘Click to Do,’ an AI-powered tool that takes suggestions to the next level. It’ll offer smarter, context-based actions to help streamline tasks.

The catch? It’s only available on newer Copilot+ PCs with the hardware needed to support advanced AI features.

Unfortunately, older devices will just lose the “suggested actions” menu without a replacement.

If you’ll miss this feature, you can let Microsoft know through the Feedback Hub app. For most people though, this change might pass by unnoticed.

What do you think... will you miss “suggested actions,”? Or are you ready to embrace AI-powered tools like ‘Click to Do’?

Does your Windows PC feel... cluttered?

You’re busy running your business, and it’s surprising how much junk accumulates over time.

A messy desktop, slow performance, or too many unused apps can make work frustrating and unproductive.

Luckily, decluttering your computer is easier than you think - and it can make a huge difference to your productivity.

Start with your desktop. If it’s covered in random files and folders, try using features like “Auto arrange icons” and “Sort by” to organize them. Better yet, create a “Temp” folder for the files you don’t need long-term, and keep your desktop clear for quick essentials.

Next, tackle your Start menu and taskbar. Right-click to pin or unpin apps, rearrange shortcuts, and hide features you don’t use. A tidy menu and taskbar make it easier to find what you need when you need it.

Also, don’t forget about storage. Run the built-in Disk Cleanup tool, or turn on Storage Sense through System Settings to clear out old files.

Lastly, review your apps and uninstall anything you don’t use. Not only will it free up extra space, it could help things load faster when you start up your PC.

When was the last time you and your team cleaned up your computers? If you need help with it, we can help streamline things for you. Get in touch.

Imagine being able to upload a file directly into Google Search and ask it specific questions about that file.

Sounds futuristic, right?

Well, this might soon become a reality. A rumor is buzzing about Google testing a new feature where you can upload a file (think PDFs, spreadsheets, or presentations) and then ask questions like, “What’s the most important point in this document?” or “Can you summarize this for me?”

For businesses, this could be huge. Imagine your team quickly analyzing lengthy reports or pulling insights from contracts without spending hours sifting through details.

Employees could use it to instantly find key data in project briefs or financial summaries. This tool could save time, boost productivity, and help everyone make smarter decisions faster.

It’s worth noting that AI in Google services has had its hiccups, like inaccurate answers or copyright concerns. But if this feature gets it right, it could be a powerful tool for businesses of all sizes.

How can you see this feature benefiting your team?

If your business handles surveys, reviews, or other text-heavy information, I have great news: Microsoft has added some new text analysis features to Excel.

Now you’ll be able to find patterns and insights without needing to manually wade through endless rows of data (I can practically hear you breathing a sigh of relief already).

Here’s how the updates could help you streamline workflows and save time:

*** Meet your new data assistant: Copilot ***

Want to see a quick summary of customer reviews or survey responses? No problem, Copilot’s got your back. It can:

✨ Highlight key themes and trends in your data

✨ Perform sentiment analysis to tell you if feedback is positive, negative, or neutral

✨ Automatically add insights like common topics or customer opinions into a new column

It works on datasets with up to 3,000 rows and even handles multiple languages without needing any translation. 🌍 Helpful, right?

*** Want to take it to the next level? ***

I’m going to get technical for a moment, but if you’re a die-hard Excel fan, I know you’ll keep up.

Excel now supports Python for text analysis. 💥 With access to libraries like NLTK, you can:

🔍 Create visualizations that make your text data pop

📊 Dive into advanced analysis like sentiment scoring or keyword extraction

💡 Use Copilot to help create Python code

And if you want more, Excel has now added these handy extra features:

✅ REGEX functions for powerful pattern matching

✅ TRANSLATE functions to convert text into different languages right there in your spreadsheet

Whether you’re digging into customer feedback, analyzing employee surveys, or exploring market research, these tools make it so much easier to turn raw text into insights you can action.

📅 Microsoft is rolling out these updates now, so keep an eye out for them.

How are you analyzing text data in your business? Think these new Excel tools could help you and your team? 😊

Listen, I get it. Upgrading your business hardware can feel like an unnecessary expense, right?

If it’s not broken, why fix it?

Here’s the thing: Sticking with outdated tech doesn’t just cost you money in the long run – it can put your business at risk.

As devices get older, manufacturers stop rolling out security updates, leaving vulnerabilities without a fix. Once that happens, your old tech can become a playground for cyber criminals. 💀

*** Think about it this way ***

☠️ That router running security protocols from the last decade? It’s like locking your front door but leaving the windows open.

☠️ The spare office laptop that doesn’t get updated? That’s an open invitation for malware to sneak in and spy on your sensitive business data.

And it’s not just routers or laptops that cause problems. Your employees’ work phones, your printers, and even that ancient unused desktop in the corner can all become a risk if they’re no longer getting updates.

So how can you keep your business protected?

*** Here’s a quick checklist ***

✅ Look for updates: A quick online search for the model and “end of life” date of each of your devices will tell you if they’re still supported.

✅ Upgrade hardware: If updates have stopped, it’s time to replace the tech.

✅ Explore software fixes: Sometimes older devices can be revived with alternative software (but tread carefully – this may not be the best option for tools your business relies heavily on).

I know it’s tough to part with devices that seem to work just fine. But when they turn into security risks, look at upgrading as essential protection for your business.

What’s the oldest device you’re still using? Think it might be time for an upgrade? Let’s talk about your options. Get in touch. 😊

Cyber threats are everywhere these days. From scammers to nosy service providers, your business data is at risk every time it’s shared or stored.

That’s why end-to-end encryption (E2EE) is so important. It’s like having a bodyguard for your most sensitive information. 💼

But what exactly is E2EE?

Let’s say you’re sending a private message to an employee or client. With E2EE, the message gets “locked” (encrypted) on your device before it’s sent – and it only gets “unlocked” (decrypted) once it reaches the other person’s device. 📨🔑

Here’s what this means:

🚫 No third party (like cyber criminals, internet providers, or even the app itself) can see the message or interfere with it.

🔐 Only you and the person you’re messaging have the keys to unlock it.

So, why does your business need E2EE?

🔒 It protects against data breaches

Even if someone manages to intercept your data, they can’t read it without the decryption key. It’s like a locked suitcase only you and the recipient can open. 🧳🔓

🔒 It keeps your conversations private: Whether it’s client details or internal strategy, E2EE makes sure nobody’s eavesdropping. 📱🤐

🔒 It helps you stay compliant: Do you handle sensitive data, like personal details or financial records? E2EE helps make sure you tick those legal boxes. ✅

🔒 It reduces risk during cyber attacks: Unlike relying on the security of a single server, E2EE spreads the protection across multiple devices, making it harder for attackers to access your data. 🖥️🛡️

OK, what’s the catch?

E2EE isn’t a silver bullet. If your devices get compromised (think malware), your data could still be at risk. 🖥️🚨 Plus, metadata – showing things like who you’re talking to and when – can still be visible.

That’s why it’s important to pair E2EE with solid security on your devices, as well as making sure your employees build smart security habits.

With cyber attacks making headlines every week, protecting your business isn’t optional. E2EE isn’t just a nice-to-have; it’s a must for businesses that value security and customer trust.

Is your business using end-to-end encryption yet? If not, what’s holding you back?

Do you remember last year’s CrowdStrike outage? It wasn’t even a cyber attack; just a faulty software update that caused a global IT meltdown.

It affected millions of Windows devices around the world – and it’s estimated that Fortune 500 companies lost up to $5.4 billion because of it. 😮

It’s a harsh reminder of how fragile our digital world can really be.

Glitches, cyber attacks, natural disasters… disruptions like these can bring businesses to a screeching halt. And here’s the kicker: 22% of businesses admit they’re not even backing up critical data. 💾

As someone who often sees the consequences of not having a backup… that scares me.

So, how do you make sure your business is prepared for the unexpected?

It all starts with a solid disaster recovery (DR) plan. 👇

*** The 3 keys to building a strong DR strategy: ***

Continuity: Keep your business running
🔎 Review your IT setup to find the systems you can’t afford to lose and where the weak spots are.

☁️ Spread your data across multiple locations – if one fails, you’ve got backups ready.

🖥️ Use smart tools like distributed computing so you can still access your data even if something goes down locally.

Compliance: Stay on the right side of the rules
🔐 Your business is required to protect sensitive data, so stick to regulations (you don’t want a fine).

🔎 Regularly review your DR plan with legal and compliance experts to keep everything above board.

Culture: It’s not just about the tech, it’s about your people
🍎 Make sure your team knows what to do when things go wrong. Regular training is key.

👫 Bring different departments together to plan a smooth, seamless response to any crisis.

Why investing in DR is worth it:

⭐️ Better performance: Your applications keep running like a dream, even during disruptions.

⭐️ Customer trust: Show your customers you’re ready for anything and they’ll feel more confident in you.

⭐️ Cost savings: Scalable, distributed systems save you money on hardware and reduce downtime.

The truth is unexpected disasters can hit any business at any time. Whether it’s ransomware, a software bug, or something totally out of left field, being prepared can turn a potential crisis into just a minor bump in the road.

WOW… Can you believe it’s been almost FIVE YEARS since we were all instructed to stay home to work due to lockdown?

Back to 2025, and some businesses have tried to get everyone back in the office full time. But let’s be real – hybrid working has totally won over many of us. 🏆

These days, working remotely isn’t just desirable; it’s the new normal.

More than 63% of workers now have a hybrid setup, allowing them to work from home sometimes. But there’s also been a shift, with around 1 in 2 workers now spending at least half their time in the office.

Looks like businesses are trying to find a middle ground that works for everyone. 🏠🏢

As for the role of tech in remote work, here’s how it’s making a difference:

⭐️ 67% of workers have a proper office space set up at home

⭐️ 76% say advanced tools are a must for career growth

⭐️ AI is huge – 80% of workers are using it, and 84% say it boosts their productivity

But there’s a catch: All this flexibility can compromise security.

Here’s what you need to think about:

📍 Supporting hybrid work without putting your business at risk

📍 Giving your team the right tools (like AI) to help them work smarter

📍 Making sure everyone knows how to use the tools they’re given

Hybrid working isn’t just about where people work anymore – it’s about how they work and having the best setup to get stuff done. When you get it right, your team is happier and more productive. 🎯

And if you’re thinking about forcing everyone back to the office, whether they like it or not? In my opinion, it could backfire big time. You don’t want to lose your best people because you didn’t meet them halfway.

So, how’s your business doing with hybrid working? Are you managing to find a balance between flexibility, productivity, and security? Let me know – I’d love to hear what’s working for you. 😊
