The Project Lifecycle: How a Project Is Born, Lives, and (Sometimes) Fails

Every project – whether it’s a small business website, a software system development, or a marketing campaign – has its own life. It starts with an idea and ends with a result. However, between these two points, there is not only work, but also a sequence of phases that the project must go through. This is the so-called project life cycle.

Understanding and correctly implementing the life cycle is one of the most important elements for successful project management. Unfortunately, this is where most strategic and management mistakes are made – often before the real work has even begun.
Initiation:

the beginning where many things go wrong
In the first phase, the project is born. Usually, an idea, need, or problem arises here that needs to be solved. It is very important to be clear about the goal, expectations, and why this project is important at all. It is in this phase that it is approved whether the project should be started at all.

One of the most common mistakes here is the lack of a well-defined goal. Often, we start with enthusiasm, but without a specific vision. We start something "because it sounds good", but without analyzing the value, risks or needs of the client. This leads to projects that lose their meaning halfway through - or never reach the end at all.

Planning:
the most important stage that is often skipped
After the project is approved, it's time for planning. This is where deadlines, resources, budgets, tasks, responsibilities and risks are set. This is the phase that determines the success or failure of almost everything else.

The mistake? Planning is often underestimated. Instead of investing the necessary time, many teams "plan" in a hurry - based on feelings, past experience or optimism. Without realistic deadlines. Without buffers. Without dependency analysis. And without a clear communication plan.

The result is gaps, delays, cost overruns and tension - which later transfers to the ex*****on phase.

Ex*****on:
where reality meets the plan
The ex*****on phase is the moment when ideas start to turn into actions. This is the stage in which the product is built, the service is delivered or the solution is implemented. In practice – this is where the real work happens.

The most common mistake here is to blindly rely on the plan. In the real world, things change. Unforeseen situations arise, new dependencies, changes from the client. Projects that do not allow for adaptation begin to lag behind. And teams that do not communicate regularly with each other quickly find themselves in different directions.

This is where you can see whether the planning was good. Or just beautifully written.

Monitoring and control:

While the project is being implemented, in parallel, progress must be monitored, reality compared with the set goals and corrective actions applied. This is the monitoring and control phase – something like the “nervous system” of the project.
The mistake at this stage is almost universal – control is superficial, unstructured or completely absent. Risk management only occurs when there is a problem. Reporting is done after the fact. And KPIs (key performance indicators) are often not defined at all.
Projects without monitoring literally “slide” out of control – sometimes without anyone realizing it in time.

Closing:
where projects die without a finale
The final phase is often perceived simply as the “end of the project”, but it is far more important. Here the result is handed over to the client, all tasks are finalized, contracts are closed, documents are archived and most importantly – an analysis is made of what was successful and what was not.
The mistake is clear – most teams rush to finish and skip this final stage. Lessons remain unlearned. Documentation remains incomplete. The client often does not have a clear picture of what they received, and the team cannot draw conclusions for future projects.

Why is it so important to know the life cycle?

The life cycle is not just a theoretical model. It is a framework that gives us orientation, structure and control. Projects that ignore it often fail not because of bad ideas or lack of resources, but because of a lack of clarity about when, what and why to do it.
Understanding the phases of a project – and managing them consciously – is not a luxury. It is the foundation of professionalism. And one of the biggest differences between people who "start projects"... and those who successfully complete them.

The Project Charter is the document that formalizes the beginning of the project. It contains the main goals, key participants, scope and initial vision for implementation.
The Work Breakdown Structure (WBS) is a structured breakdown of the project into tasks and subtasks. This is the tool that provides clarity on what exactly needs to be done and how the project components are connected to each other.
The Gantt Chart is a visual timeline that tracks milestones, dependencies and deadlines. It is particularly useful for synchronizing activities and communication between teams.
