A loan application. A KYC review. An HR file submission. All of them start the same way: someone asks an external party to send in their documents.

How that collection happens matters more than it looks.

Documents getting lost or arriving incomplete is one problem. A signed document is not safe forever.

A digital signature isn't just a mark on a page. It depends on several things to remain verifiable: a certificate that identifies the signer, proof that the certificate wasn't revoked, timestamps, and validation evidence captured at the moment of signing.

Certificates do expire. Revocation records may no longer be available. Validation infrastructure changes. A lot of things can happen over time. Signing is one step. Preserving the evidence around it is another.

So if you wish for a signed contract to hold up in court 15 years from now, you need to ensure that the signature and the document are properly preserved.

Some systems stay online long after they've stopped being part of daily operations. This is often because the data inside is still needed: for compliance, for audits, for the occasional record request nobody can predict.
