Format your business proposal properly to win big business.

In your business writeup, be on good terms with your punctuation, especially your commas. Put them where they should be. "Proper punctuation functions like road signs, helping your reader to navigate your sentences. A left-out comma, or a comma in the wrong place, can confuse readers or even change your meaning altogether."

Here is a statement that most women will disagree with:

A woman without her man has no reason for living.
With a colon and a comma, the writer would get a different reaction:
Woman: without her, man has no reason for living.

Remember Confucius: If language is not correct, then what is said is not what is meant. If what is said is not what is meant, then what ought to be done remains undone.

For students or professionals seeking to study in Europe or America, a personal statement (PS) can make or mar your chances of getting an Unconditional offer.

You can avert rejection if you avoid these common errors in your Personal Statement.

1. Never write your PS without a plan. A good plan is a roadmap to a winning personal statement. It lets you closely inspect your grounds for admission, such as background, interest, academic qualification, achievement, motivation and ambition. So you can structure them and pick only the points that apply to your application.

2. Avoid bland and offhand composition. International admission is usually competitive. The institution wants to pick the best students, and they make their selection from the review of thousands of applications. The personal statement tests your academic and comprehension competency, and it is your chance to convince the faculty that you are the right student for them. Use engaging language. Let your letter show your capacity and enthusiasm.

3. Do not make your PS an autobiography. The personal statement is not the story of your life. It is your opportunity to show that your skillset matches the course you are applying for and that you are the right person for the faculty. Speak only of the aspect of your life relevant to the application. Do not bore the reviewer with irrelevant details of your personal life.

4. Curb the use of long sentences. Long sentences are hard to track and can be tiresome to read. Use short sentences to convey your message. Limit your expressions to 23 - 32 words. Short sentences make your composition simple and easy to understand.

5. Do not make your PS less than 250 words and more than 550 words. Make your most compelling arguments as fast as possible. Save your reviewer some time and effort. Your letter should not be too short or too long. If what you’ve said in 250-550 words is not compelling enough to convince your reviewer, why would they want to read further? Especially when they are reviewing thousands of letters. So, make it concise. They'll appreciate the concern.

6. Do not make unfounded claims or baseless boasting. Use the persuasive sentence structure, where you make claims and support them with evidence. Build connections in your paragraphs so that they follow each other logically. And let your facts bear on your cases.

7. Do not plagiarise. Make your PS about yourself. I mean it's a personal statement. Let your content be original. Desist from copying other people's letters or using their expressions without proper references. There is software that can detect plagiarism at the press of a button these days.

8. Lastly, do not only review your letter once. Grammatical errors can be difficult to spot by the author because the sentences are usually correct in their head. Particularly at the time of composition. Let your letter rest for a day or two before proofreading for errors. Or employ a second eye or even a third eye to look through it for oversights.

Gather ten business owners and ask them how many people favour their products? Nine out of the ten will presume their products are favoured by everybody. Therefore, they target everybody with their sales messages. Wrong! It is cognitive bias or curse of expertise, the assumption that other people see or understand your products how you, the owner, understands them. And that is why their marketing campaigns fail.

You can avoid this pitfall and also get a good number of customers to buy your product if you curb the urge in your sales messages, to sell to everybody. Target a group instead because a targeted message yields higher returns than an untargeted sales message.

So, make it a duty to always target a group with your sales letter. Remember, he that hunts two hares catches neither.
