Lets talk about business email!

Email is a service that all of us use in someway and it has changed greatly over the years from its humble beginnings. Now that we have texting and messaging service, alot of the younger generation tends to not use it as much outside of business. Personally, while I do use texting on a daily basis, I still prefer email. In the beginning email was plain and simple and worked off of a protocol called POP (Post Office Protocol) and SMTP (Simple Mail Transfer Protocol). Then as time moved on and security began increasing, IMAP (Internet Message Access Protocol) was introduced. This brought not only security but it also allowed you to sync mail to multiple devices. Today we now have Office 365 which uses a proprietary protocol called Exchange. This has even more security and many more features than IMAP or POP. Since Exchange is a Microsoft product, you can only use this if you have a 365 subscription or an on-prem Exchange server. What does this mean for you? Well, lets dig a little deeper. Most of use today use services like Gmail or Yahoo mail. These are free email systems that use IMAP to sync content to your devices. For the basic home user, this is more than sufficient, but for businesses, I recommend something more business oriented like Microsoft 365. This gives you an Exchange server experience and control without paying the high cost of buying and licensing a server. Im sure some of you out there are thinking, What about Google Workspace? Sure this is a business oriented platform to and it does work pretty well. Gives you control as an admin and security that is similar to Microsoft. I have personally worked on most email platforms, not only as a user, but also as an admin and my personal choice is 365. The fact is, they all have their pros and cons, strengths and weaknesses. Having said all that, it really doesn't matter what you use, as long as you choose a good business email platform (not free) to run your business. It does not look professional when you send an email to one of your clients and it says [email protected] or [email protected]. The part most small business owners dont realize is that they need their own domain name so that your email ends with it. For example [email protected]. This is a minor detail that often gets overlooked but I can say for me, if I get an email from a business and they dont even have their own domain name, I seriously question how they run their business or if i should even open it. In times past, it cost a lot of money to not only have your own domain name but to also have your own mail platform. Today this is so cheap, it should be an automatic. One other piece to consider when using a free email for your business, is if/when something goes wrong with your email, who do you call to fix it. No one has admin rights to a free email system other than the person that created it. We have seen many times, for some unknown reasons, if you lock your self out of your account there isn't any easy way to get back in it. Free almost never comes with support! At the end of the day, the best thing to do for your business is to get your own domain name and pay for a business class email system. You will be happy you did! Do I really need a dedicated backup solution? I have my files backed up on a flash drive!

This is becoming a common question we hear a lot so we thought we would provide a little more clarification on the topic. There are so many methods of backing up data and numerous places to store said backups. So how do you know what's good and what's not? Well, this can be tricky to answer depending on your needs, the type of data you are backing up and if you need an offsite solution. Let's start with what a backup is. A Backup is two or more copies of important data. If you only have a single copy stored on your flash drive, it's not a backup! If you only have a single copy stored on a CD, it's not a backup! For it to be considered a backup you need a second copy of the same data stored on separate media, so that if one fails you can restore from the other. For really important data, we suggest 3 copies with at least one stored offsite. Now that we have cleared that up, let's talk about all the ways you can backup your data. The most obvious is just manually copying files to some external media such as a flash drive or CD. This can be time consuming and it's also easy to forget to update the files on a regular basis. There are also software solutions that can automate this for you. There are free solutions including File History that is built into Windows 11, up to more advanced solutions like Veeam. Without knowing your setup and your current situation we can't advise you exactly what to do. We can however and do recommend if you are not already backing up your important data, we would love to be able to offer your guidance and advice on solutions that will work for you. Digital data in our modern tech ecosystem is always in danger of many threats including accidental deletion, ransomware, viruses, and many more. You shouldn't risk losing your data. Microsoft Ending Plain Authentication for SMTP Auth in Exchange Online

If you don't know what this means, Flint River Technologies is here to help. Let's break this down. To put this plainly, this means that Microsoft is ending support for plain authentication in their Exchange Online (Office 365) platform. What this means to you as the consumer is that after April 30th, 2026, you will not be able to do things like scan to Email from devices like copiers. This is the most common use that most consumers would recognize. To clarify further, an MFD is a multi function device (a.k.a. a copier machine). So if your business uses this functionality, between now and April 2026, this feature will quit working and when it does you will not be able to continue using it. At this point you have a few limited options. Before we list options, lets talk about why this is happening. The reason Microsoft is making this change is due to security. Bad actors take advantage of plain authentication to hack into 365 tenants and to remedy this, Microsoft is ending support for plain authentication. After the end date, if your MFD does not support the new OAUTH protocol, then you will no longer be able to use scan to email. We know this may be aggravating for some but I can assure you that this change is for the best. Now that we understand, lets talk about solutions going forward. First and foremost, if your MFD is fairly new, a firmware update could possibly add support for the OAUTH protocol in which case if you really wanted to continue scanning to email, you could. Most people will not be this lucky though. If you are one of the unlucky ones, then your second option would be to use something called scan to folder. In this scenario, when you scan, it would go to a folder on your computer or server, then you can open a new email, attach the scan, and then send it. The final option would be to simply buy a new MFD that supports the new protocol. If you decide to go this route, don't assume that just because it is a new MFD that it will support OAUTH. Be sure to ask your sales rep and confirm before you waste money on a new MFD. If you would like more information regarding this, please reach out to us and we would be glad to assist you.
