A form notification is not, by itself, a follow-up process.
When a new inquiry arrives, the team should not have to guess:
• What the person needs.
• Which source or campaign generated the inquiry.
• Who owns the next action.
• When the response should happen.
• What happens if the inquiry is not a fit.
Before adding more traffic, define the handoff. Review real records with the people who receive them, remove fields nobody uses, and make the next action visible.
Then measure the stages separately: completeness, ownership, response progression, qualification, and outcome. That turns “we received leads” into a process the team can improve.
