Someone asks the simplest possible question about your business (how are we doing right now?) and you realize you can’t answer it without a scavenger hunt. Revenue lives in Stripe. Project health lives in the PM tool. Open client issues live in the support desk. Who’s overloaded lives in somebody’s head. To assemble one honest picture you’d have to open six tabs, export three reports, and reconcile them in a spreadsheet that’s stale by the time you finish.

So you fly blind and call it intuition. You find out a project went underwater after it already sank, and you learn a client was unhappy only when they leave. The data existed the whole time. It was just scattered across vendors who each own a fragment and none of whom show you the whole.

The last person says the quiet part (you literally cannot see your own agency) and gets defenestrated for it. He’s right. Contract gets drafted somewhere else and sent for signature. A support org gets created. Billing gets wired up in Stripe by hand. Then three Slack messages go out so everyone knows all of that (supposedly) happened.

Six systems, six chances to fat-finger something, and no single place that says “this client is fully set up.” So the first week of every engagement isn’t strategy, it’s you discovering that their billing never got connected or their portal access was never sent. New hires can’t help either, because “onboarding a client” isn’t one skill, it’s knowing the tribal quirks of six separate tools.

The last person points out that the two weeks isn’t a discipline problem, it’s a plumbing problem, and out he goes. But he’s right. In Tomo a client exists once. Friday afternoon you make the promise to yourself: this weekend, you’re finally going to clean up the project board, get the invoices out, and set up some kind of system so Monday doesn’t feel like triage. You even block out two hours on Saturday morning for it.

Then Saturday comes. A client pings about something “quick.” Another one needs a contract resent because they can’t find the DocuSign email. Someone asks where their invoice is. By the time you look up, the two hours are gone and the “get organized” goal just quietly slides to next weekend, again.
