Your manager is requesting another AI subscription. Before you approve it, ask what will happen after the purchase.
Someone will need to learn the product, integrate it into the teamโs workflow, check its output, and assume responsibility for access and oversight. This effort should be considered alongside the subscription fee.
For instance, imagine your sales manager recommends an AI meeting assistant. The demonstration appears useful as it records conversations, prepares summaries, and promises to reduce administrative work. However, before comparing products, inquire about the current issues that arise after sales calls.
Employees may be spending too much time writing notes and updating the CRM. Now, you have a workflow to examine: How often do those calls occur? How long does documentation take? What information needs to be captured accurately? What aspects would employees still need to review?
These answers provide the vendor with valuable insights to address.
The same analytical approach applies to report generation. Suppose an employee usually spends an hour preparing a report. If AI can produce a draft in five minutes, that seems like a significant improvement. However, if the employee then spends another twenty minutes correcting information, fifteen minutes verifying numbers, and ten minutes rewriting sections, the total time spent becomes fifty minutes. In reality, the time saved is only ten minutes. Measuring only the draft would give you a misleading impression of the toolโs value.
Before making a purchase, also check the software your company already uses. If an existing product can handle the work adequately, a new application must demonstrate enough additional value to justify the new subscription, training requirements, and vendor relationship.
If a new AI tool still appears worthy of consideration, assign it a specific task and test it with a limited group using actual company work. Measure the time needed to produce an acceptable result, the corrections made by employees, the quality of the output, whether people continue to use it, and any additional administrative workload.
This data will help inform your purchasing decision based on real experiences within your business.
As you prepare for 2027, focus on one recurring workflow that needs attention. Understanding this process will make future AI discussions much more productive.
What would an AI tool need to improve before you would approve the purchase?
