Truck Docs - Dropbox but for Trucking

The only compliance document management platform built specifically for owner-operators and small fleets — making DOT compliance as simple as taking a photo with your phone.

04/02/2026

⚠️ February 2026: FMCSA just made the biggest changes to CSA scores since the system launched in 2010. If you're an owner-operator or running a small fleet, here's what changed — and what it means for your authority.

What changed:
➜ BASICs are now called "Compliance Categories" — same areas, new enforcement emphasis
➜ Violations now weighted more directly to crash risk
➜ Monthly SMS updates now pull from a 24-month violation window
➜ Scores above threshold can now trigger compliance reviews faster

What you need to do now:
➜ Log into FMCSA's Safety Measurement System and pull your scores
➜ Review all violations from the last 24 months — not just the last 12
➜ Fix documentation gaps NOW before the next monthly update hits
➜ Make sure your DQ files, inspection reports, and drug test docs are current and accessible

A flagged CSA score isn't just a number — it's a trigger for a full DOT compliance review. Most carriers who fail audits aren't running unsafe — they just can't find their documents when the inspector shows up.

That's exactly why TruckDocsAI exists. It keeps all your compliance docs organized in one place, sends you expiration alerts at 60/30/7 days out, and gives you instant access during a roadside stop — so you're never scrambling when enforcement shows up.

Every other tool in the trucking compliance space falls into one of two camps: expensive enterprise platforms built for mega-fleets (Samsara, Zonar, Lytx), or generic document storage that doesn’t understand trucking (Google Drive, Dropbox).

Truck Docs occupies the gap between both — purpose-built for the owner-operator who is simultaneously the driver, the safety director, the mechanic, and the bookkeeper.

Its as easy as snapping a picture of your documents, it gets automatically categorized and organized. From there you can easily pull documents needed for an inspections, pull your DQ file, documents to send for factoring. Plus, compliance documents expirations are tracked for you with reminders and alerts sent 60, 30 and 7 days out

"POV: You just got pulled into a weigh station for a Level I inspection.

The officer asks for your medical card, annual inspection report, insurance certificate, and registration.

Option A: Dig through a glovebox full of crumpled papers while the officer waits. Can't find the annual inspection cert. Out of service.

Option B: Open one app on your phone. Tap ""DOT Inspection Ready."" Every document — categorized, current, and on screen in under 10 seconds.

That's the difference between losing days of income and being back on the road in 20 minutes.

I built TruckDocsAI because I watched owner-operators lose money over paperwork that should take seconds to find.

You snap a photo of any document. The AI categorizes it automatically. It tracks every expiration date. And when DOT asks for something, you pull it up instantly.

Free trial. No credit card. No commitment.

Link in bio — try it before your next inspection.

Have you ever been caught without a document during an inspection? What happened? 👇"

CVSA International Roadcheck is May 12-14.

72 hours. Thousands of inspectors. Every weigh station and pop-up site in North America running full Level I inspections.

This year they're targeting TWO specific things:

1. ELD tampering and falsification — they're looking for manipulated logs, hidden edits, and hours-of-service violations you tried to cover up

2. Cargo securement — straps, chains, tie-downs, load distribution. If 2025 is any indication, they wrote over 18,000 cargo securement violations last year alone.

Here's what they check on YOU during a Level I:
→ CDL + endorsements valid
→ Medical examiner's certificate current
→ Record of duty status / ELD compliance
→ Drug & Alcohol Clearinghouse status
→ Seat belt
→ Signs of impairment

And on your TRUCK:
→ Brake systems (air leaks, slack adjusters, drums)
→ Tires, wheels, rims
→ Lights and reflectors
→ Coupling devices
→ Steering and suspension
→ Frame condition
→ Cargo securement

If they find a critical violation, you're placed out of service on the spot. No driving until it's corrected.

The good news? If you pass clean, you can get a CVSA decal valid for 3 months — basically a pass to skip most future inspections during that window.

You have 2 months to get ready. Start with a self-inspection this weekend.

Save this post — you'll want it in May. 🔖

COMPLIANCE SPOTLIGHT: IFTA (Quarterly Fuel Tax Filing)
Filing Timeline: EVERY QUARTER (January 31, April 30, July 31, October 31)
What happens if you miss a deadline?

Immediate penalty: $50 OR 10% of taxes owed (whichever is greater)
Interest charges: 0.75%-1.5% per month on unpaid taxes (varies by state)
Miss by 30+ days: IFTA license SUSPENDED
Cannot operate interstate until reinstated
Multiple consecutive late filings can lead to license revocation

What happens if you don't file at all?

License suspended within 30 days
After 60 days: Possible jeopardy assessment from tax authorities
Cannot renew IFTA license for next year
Must reapply and pay reinstatement fees
Potential criminal charges for intentional false filing

Real scenario: Owner-operator forgot Q2 filing (July 31 deadline). Realized in September—60 days late. Owed $1,000 in fuel taxes. Result: $100 penalty (10%) + $15-$20 interest + license suspended. Had to pay $1,115-$1,120 total + $150 reinstatement fee = $1,265-$1,270. Lost 3 days of work = $1,500 revenue. Total cost: $2,765-$2,770 from one forgotten quarter.

Pro tip: Truck Docs sends you reminders 14 and 7 days before each quarterly deadline (Jan 31, Apr 30, July 31, Oct 31).

Critical: You MUST file even if you didn't operate, stayed in your base state, or owe $0. A "zero return" is still required or you get the $50 penalty.

Four deadlines a year, every year, forever. Don't let one slip turn into a $1,000+ problem.

On Thursday, DOT Secretary Duffy and FMCSA Administrator Barrs announced new rules targeting chameleon carriers, tightening carrier identity verification, and overhauling how every motor carrier is registered and tracked in the federal system.

“But I’m non-CDL, that doesn’t apply to me” - wrong

If your truck and trailer combo is over 10,001 lbs (and almost every hotshot setup is), you ARE a commercial motor vehicle in FMCSA’s eyes. You have a DOT number. You have an MC number if you’re hauling interstate for hire. You’re in their system. And that system is about to get a LOT more strict about verifying who you are and whether you’re legit.

Here’s what’s coming:
→ The Motus registration system is being rebuilt into a full identity verification platform. They want to know you’re a real carrier at a real address — not a P.O. box.

→ Carriers who can’t prove their identity, ownership, and compliance are getting flagged and shut down faster.

→ Brokers are getting new qualification requirements too, which means they’re going to be MORE careful about who they book loads with.

What this means for you: Brokers are already nervous about freight fraud and fake carriers. These new rules are going to make them even pickier. The hotshot drivers who can show they’re organized, compliant, and connected to a clean DOT/FMCSA record are going to get loads. The ones who can’t won’t.

This is why we built TruckDocsAI.

Whether you’re CDL or non-CDL, if you have a DOT number, you need your documents organized:
📋 Insurance, registration, medical card, IFTA, IRP, operating authority, BOC-3, UCR, annual inspection — all in one place, categorized and accessible from your phone.

⏰ Automatic alerts before anything expires. Your medical card, insurance, or annual inspection lapsing doesn’t just mean a fine — it can mean out-of-service and a hit to your CSA record that follows your DOT number.

📊 We pull your actual SMS/CSA scores directly from FMCSA and combine them with your document status to give you a real-time audit readiness score. You can see what FMCSA sees when they look you up — and fix gaps before enforcement finds them.

With these new rules, your DOT number IS your reputation. A clean, organized record is going to be the difference between getting booked and getting passed over.

TruckDocsAI is $19.99/month. Try it free for 14 days at TruckDocsAI.com

Transportation Secretary Sean Duffy said the efforts aim to modernize and strengthen federal systems used to verify motor carrier identity, ownership and compliance.

COMPLIANCE SPOTLIGHT: BOC-3 (Process Agent Designation)
Filing Timeline: One-time filing (within 90 days of MC number approval)
What happens if you don't file it?

Your MC authority NEVER becomes active
Cannot legally operate or haul freight
Cannot be paid by brokers (authority shows as inactive)
Your $300 MC application fee is wasted
After 90 days, application is dismissed—start over from scratch

What happens if it expires/lapses?

Authority shows as "REVOKED" on FMCSA database
Immediate shutdown—cannot operate
Have 30 days to file new BOC-3 or lose authority permanently
Brokers blacklist you (they check SAFER database)
All your startup investment gone

Real scenario: New O/O got MC number in January, never knew about BOC-3. Authority stayed "pending" for 5 months. Finally discovered issue in June. Result: Application dismissed, lost $300 fee, had to reapply and wait another 3 weeks. Couldn't haul during this time = $15,000+ lost revenue.
Pro tip: Truck Docs tracks your BOC-3 filing status and alerts you if it lapses or needs updating (business name change, LLC conversion, address change). We store your confirmation so you always have proof on file.
Most common mistake: Paying $300-$500 for BOC-3 filing when it actually costs $30-$100. Or worse—never knowing you need it until your authority doesn't activate.
Your authority isn't active without BOC-3. Period. File it immediately after getting your MC number.
