It's 4:40 on a Thursday in Ojai. Jordan is holding the door of the sound bath room so it won't click shut. Eleven guests are on their mats with their eyes closed.

Her phone buzzes. Then again.

Does the shuttle meet flights at Burbank? Can the kitchen do low FODMAP? What's the gate code?

She steps into the hallway, answers all three with one thumb, and misses the closing gong.

We sell people calm, and then make them hunt for the gate code. Wait. Why are we doing it like this?

Here's the part that stings: it's rarely about whose work is better. A first-time customer hasn't seen either crew yet. They're just booking whoever calls back first — and most people who hit voicemail don't even leave a message. They just move to the next name.

It's Tuesday morning, and Jordan just found out a $4,200 recurring cleaning contract went to somebody else.

Not because the quote was too high. Not because the crew wasn't good — they show up on time, do great work, five stars every review. It went somewhere else because nobody followed up after the walkthrough. Jordan thought the office manager had it. She thought Jordan was still handling that one personally. Nobody dropped the ball on purpose — the job just fell into the gap between two people who both figured someone else had it.

A landscaping company owner outside Boise did this with me on a call. The first thing he saw was a blog post from 2019. Not his phone number (two taps away in a footer). A stylist told me about the client who called her at 8pm on a Sunday wanting a $300 balayage appointment. No answer, no voicemail returned by the time she checked Monday morning. By then, the client had booked somewhere else.

Nobody did anything wrong. The timing is just brutal: your business hours and your client's free time barely overlap. The one moment they have to think about booking is usually the one moment you're off the clock.

Quick test for you: call your own business right now, during the day. Then tonight, after you've locked up, call again from a phone your team won't recognize.

I've had owners do this with me on the phone and go quiet for a second when they hear what happens on call #2.

A home-services owner outside Columbus lost a $4,200 job this way — the customer called at 9:40 on a Friday night, got dead air, and hired someone else by Saturday morning. Nobody did anything wrong. The call just landed in the one gap nobody was covering.

A stylist I talked to described her Saturday like this: mid-foil, timer running, phone buzzing with a DM. Someone wants 2pm. She can't stop to answer, so she tells herself she'll get to it at her next break.

Forty minutes later? That 2pm slot is gone. Booked online by someone who had no idea anyone else wanted it.

This happens because most solo stylists have four different doors clients can walk through: DMs, texts, calls, and a booking app, and nothing ties them together. Whichever message you see last gets the slowest answer, even if it came in first.

The good news: this isn't a bigger-software problem. It's a routing problem, and it's fixable with one saved reply.

Try this thought experiment and watch your stomach drop a little.

Tomorrow you fire every tool in your studio. The booking software, the CRM, the email platform, the whole stack. Now: can you walk out with your complete client list, every deposit you've collected, and all your booking history? Cleanly? Today?

Most studio owners find out the hard way that the answer is no. They spent years building relationships with hundreds of clients, and all of it lives inside a platform they rent. The export button exists. It's right there. You click it and it opens a little form that says "our team will get back to you within 3 to 5 business days," which is a fun thing to read when your provider just raised your rate 40 percent and you're trying to leave.

Here's the reframe. Your client list is the asset. Your deposit history is the asset. The software is just the building it's stored in, and you should own the building, not rent a locker in someone else's.

The businesses that never worry about this are the ones whose data lives somewhere they control. Everyone else finds out who really owns the relationship on the day they try to leave.

Full bars on your phone is the most misleading icon in your whole business.

Picture it. You're mid-session on a half-sleeve, three hours in, machine humming, completely locked in. Your phone is right there on the station, four bars, glowing, doing absolutely nothing for you. A new client, the good kind, ready to book a $3,000 piece and put down a deposit today, calls the shop. Four rings. Voicemail. That voicemail you recorded in 2019 that still says "we'll get back to you shortly," which is a bold promise from a man currently holding a tattoo machine.

They don't leave a message. Nobody leaves messages anymore. They just call the next studio. And the next studio answered.

Your signal was flawless the entire time. That's the cruel part. The carrier did its job. Your business didn't have anything set up to do its job.

Reachable isn't the same as having signal. Reachable means the call gets caught, the client gets a text back, and the consult gets held even though your hands were busy for three straight hours. That's a system, not a phone plan.

A tattoo studio in Austin built its whole booking flow on a number a booking app handed them. Free number, right there in the app. Very convenient.

Then the app changed its pricing, the studio wanted out, and that's when they found out the number was never theirs to take. It lived under the app's account. Leaving meant starting over with a new number, on the cards, on the window, on the Google listing, on every client's phone.

Here's the part that gets me. You can spend five years making a number mean "book your next piece here," print it on everything, tell every walk-in to save it, and still not own it. It's rented. And rented numbers can walk out the door on a Tuesday when the company behind them changes the deal.
