This or that: the follow-up edition.

Be honest. Which one would help your business more right now?

Option one: AI writes the follow-up for you. You talk for two minutes after a call, and it turns your words into a clean message, ready to send.

Option two: AI never lets one slip. It watches your list, taps you on the shoulder, and says: these three people are still waiting on you.

Writing help is nice. But a follow-up that never goes out earns nothing.

Me? I pick the reminder first. A plain message sent beats a perfect one still sitting in your head.

Your AI sounds like a robot because you never showed it your voice.

Without an example, it writes like this: "We are pleased to announce our exciting new offering."
Show it one example of your own writing first, and it writes like you instead. Short. Warm. Clear.

Here is a prompt I use constantly. I call it Show, Do Not Describe.

1. Find one thing you already wrote and liked. One email, one post, one reply.
2. Paste it in and say: "This is my voice. Match this tone, length, and structure. Do not sound formal."
3. Give it the new job: "Now write the same kind of piece about [your topic] for [your audience]."
4. Read the first two lines out loud. If it does not sound like you, say "plainer, like I am talking to one person" and let it rewrite once.

What changes: you start from a draft that already sounds like you, not a robot draft to fix for 20 minutes.

Stop re-explaining your business in every chat.

Every new chat, you type the same thing. Who you help. What you sell. How you talk. Twenty minutes gone before the real work starts.

Fix it once. In ChatGPT, open Settings, then Personalization, then Custom Instructions. Gemini and Claude have their own version.

Who this is for: anyone who uses AI more than twice a week and is tired of starting from zero.

1. Paste this, filled in: "I run [your business]. I help [who]. My tone is warm and plain, never pushy. Keep answers short first."
2. Add one rule you repeat often. Mine: "Never use fancy words when a plain word works."
3. Start a new chat and ask for something real. Watch it answer like it already knows you.

What changes: no warm-up typing. Your first prompt gets straight to the work.

Sunday night reset, ten minutes.

Before Monday runs you, sit down tonight and empty your head. Every task, every worry, every loose end, all of it into one messy list.

Then hand that list to AI and say: Sort this into what must happen this week, what can wait, and what someone or something else can handle. Give me Monday first.

Mine is already done. Monday is clear, and the rest of the week has an order.

AI news you can actually use this week.

ChatGPT stopped answering with just words.

1. Answers that act like tools. ChatGPT can now reply with charts, comparisons, forms, and small tools built in the chat, like a savings calculator. Ask for the answer in the shape you need.

2. Your saved Gemini helpers are becoming skills. Google is rolling out skills in the Gemini app, so a helper you saved can be reused like a recipe instead of rebuilt every time.

3. One check for your paid tools. Older AI models behind some apps are being retired, with a big batch ending in January. If a tool you pay for acts strange, ask the company what replaces it.

My take: the win is no longer a better answer. It is a finished piece of work.

I did not start with AI because I loved the tech.

I started because I watched good business owners lose whole days to repeat work. Same inbox questions. Same follow-ups. Same forms, over and over. After years leading teams, I knew that work. It eats the day and calls it busy.

The first time I handed one repeat job to AI and got my evening back, it clicked. This was not a trend. It was relief.

That is why I teach it plain. Hand AI the repeat work first. Take your time back for the work only you can do.

Nobody claps for the quiet work.
