Software takes months because someone has to learn how you work.

Writing the code is not the slow part anymore.

Someone has to get what you know about scoring a candidate out of your head and into a system.

Write down what broke every time you run your process by hand.

Run your executive assessment 3 times before any of it goes into software.

Every workaround your team invented is in those notes. So is every step that only works because one person remembers something.

Automate the work your team repeats before you post another job.

Your backlog is growing faster than you can hire for it.

Start with the step your team does the same way every time.

You need fewer entry level hires and more people who can clear an exception nobody has seen before.

Use your own software for a few months before you sell it.

Your team hits the broken parts in week 1 and tells you about it.

A client hits the same ones, says nothing, and goes back to email. Run your own assessments through it until your team stops finding new exceptions.

An easy sale tells you nothing about whether clients can use your software.

Your executive assessment clients signed 5 year deals after a 15 minute sale.

Then it got too hard to use and they started taking shortcuts, so you pulled the whole thing back.

Every client wanted it and it was still a disaster.

AI takes the easily described steps in your billing and your claims.

The steps anyone could follow if you wrote them down.

It does not replace the person.

It replaces those steps, and they still have to get done while your volume grows.

Your team ends up doing the thinking work instead of the data entry.

You find the rough edges in your process by doing the work by hand.

Run it 3 times yourself before any of it goes into software. Every executive assessment has exceptions you only meet by running it.

Build around an exception you have not met yet and you pay again later to take it out.

Building software takes more of your own time than you planned.

You're the visionary.

You know how the business works and what your customers expect, so someone on your side has to stay on it or what gets built drifts off the vision.

The first version isn't it.

You launch, customers tell you what's missing, and there are gaps you can't see until it's live in the real world.

When you set the budget, put wave 2 and wave 3 in it.

Ask what discovery hands you before you sign with a software company.

6 weeks inside your executive assessment firm, before anyone writes a line of code. You get an architecture diagram and a roadmap with milestones on it.

The people writing your code have to know how you operate first.
