Understanding Goods Movement Types (MvT) in the Purchase Order History

SAP SD – Batch Search Strategy (VCH1):

Batch determination is an important functionality in SAP SD, particularly for businesses dealing with products where expiry date, production date, quality, customer requirements, or other batch characteristics are important.

One of the key transactions used for SD batch determination is VCH1 – Create Batch Search Strategy for Sales and Distribution.

1. What is a Batch Search Strategy?

A Batch Search Strategy tells SAP which conditions should be used to search for suitable batches during batch determination.

For example:

A customer orders Material FG-100, and the business wants SAP to select a batch that:

Has sufficient available stock

Has at least 30 days of remaining shelf life

Meets required quality characteristics

Is selected according to a defined FIFO or expiry-date sequence

The search strategy provides the rules SAP uses to identify suitable batches.

2. What Do We Maintain in VCH1?

When creating a strategy in VCH1, important information can include:

2.1 Strategy Type

The strategy type controls the business scenario for which the search strategy is relevant.

2.2 Key Combination

The key combination defines the business fields used to identify the applicable strategy, such as:

Material + Customer

Material + Plant

or another configured combination.

2.3 Selection Criteria

Selection criteria determine the characteristics that a batch must satisfy.

Examples:

Minimum remaining shelf life

Expiry date

Batch status

Quality grade

Customer-specific characteristics

2.4 Sort Rule

After qualifying batches are found, SAP can sort them according to a defined rule.

For example:

FIFO → oldest suitable batch first

or

Expiry Date → batch with the earliest expiry date first

SAP describes the sort sequence as the mechanism that determines the order of qualifying batches.

3. VCH1 vs. Batch Determination

It is important to understand that VCH1 does not simply select a batch by itself.

The overall process normally involves:

Search Procedure → Strategy Type → Search Strategy → Selection Criteria → Availability Check → Sort Rule → Batch Proposal

SAP first identifies the applicable search procedure and strategy, then evaluates the batch characteristics and availability before proposing suitable batches.

💡 SAP PM | Order Completion Confirmation – IW41

What happens after a maintenance order is released and the technician performs the actual work?

This is where order confirmation becomes an important part of the SAP PM business process.

🔹 What is IW41?

IW41 – Enter Time Confirmation is used to record an individual time confirmation for a maintenance order operation.

It allows the maintenance user to communicate to SAP:

“This operation has been performed, and here is the actual work carried out.”

For example, a maintenance order may contain the following operation:

Order: Replace a defective motor

Operation: 0010 – Remove and replace motor

Planned Work: 4 hours

Actual Work: 5 hours

After the technician completes the activity, the actual work can be confirmed through IW41.

🔹 What information can be confirmed?

Depending on the configuration and confirmation process, the user may enter:

🔹 Actual work / labor time

🔹 Confirmation of the operation

🔹 Final confirmation, where applicable

🔹 Personnel-related information

🔹 Activity-related information and remarks

🔹 Actual completion information

The exact fields and available options depend on the SAP system configuration and the confirmation process being used.

🔹 IW41 vs IW42

IW41 – Individual Time Confirmation

Used when you want to enter a confirmation for an individual operation.

IW42 – Overall Completion Confirmation

Used to enter an overall completion confirmation for a maintenance order.

📌 Practical understanding:

IW41 is commonly used when confirming individual operations, while IW42 is useful when confirming the overall completion of the order.

🔹 What happens after confirmation?

A typical SAP PM process may look like this:

🔹 Important distinction: Confirmation ≠ TECO

This is one of the most important points for SAP PM learners.

IW41 confirms the work performed on an operation.

TECO indicates that the maintenance order has reached technical completion.

These are not the same activity.

📌 Object Link in SAP EAM:

In SAP Enterprise Asset Management (EAM), an Object Link is a relationship that connects a technical object or maintenance document with another SAP object or business document.

1. What is an Object Link?

An Object Link allows users to navigate from one SAP object to related information without manually searching for it.

For example:

Equipment → Maintenance Order → Notification → Document → Purchase Order

This creates a connected information chain around the asset.

2. Common Object Links in EAM

Object links can connect:

Equipment

Functional Location

Maintenance Notification

Maintenance Order

Work Order

Measuring Point / Measurement Document

Material

Purchase Requisition / Purchase Order

Documents and attachments

Warranties

Technical drawings

Inspection or maintenance-related documents

3. Practical Example

Suppose a centrifugal pump is installed in a plant.

The pump has an Equipment Number.

A breakdown occurs, and a maintenance notification is created.

The notification can lead to a maintenance order, where technicians record:

Problem

Cause

Activities performed

Spare parts consumed

Labor

Technical documents

Through object relationships, the history associated with that pump can be followed.

Equipment → Notification → Order → Components → Documents

4. Why Object Links Are Important

Object links provide asset-centric information.

Instead of looking at individual transactions separately, the maintenance professional can understand the complete history of an asset:

What happened? → Why did it happen? → What work was performed? → Which parts were used? → What documents are associated?

This is particularly important for maintenance history, troubleshooting, audits, warranty management and asset lifecycle management.

5. Object Link vs Attachment

They are related but not exactly the same.

Attachment:

A file or document is attached to an SAP object—for example, a PDF maintenance manual attached to an equipment record.

Object Link:

A relationship exists between two SAP objects—for example, a maintenance order being related to a notification or technical object.

💡 A Routing in SAP Production Planning (PP) defines HOW a material is manufactured. It lists the sequence of operations (steps), the work centers that perform each step, the time each step takes, and which components are consumed at each step. Together with the Bill of Material (BOM) — which defines WHAT goes into the product — the Routing forms the backbone of production order scheduling, capacity planning, and product costing.
