Still printing documents just to sign them?

Printing, signing, scanning and emailing back and forth eats up time, and paper copies are easy to misplace or lose.

💾 If your office caught fire, flooded, or got hit by ransomware tomorrow, would your business data survive?

Many Malaysian SMEs think they're backed up because a laptop syncs to one cloud folder. That's one copy in one place, not a backup plan.

IT professionals use a simple standard: the 3-2-1 rule.
1️⃣ Keep 3 total copies of important data, the original plus two backups.
2️⃣ Store those copies on 2 different types of media, not two USB drives sitting on the same desk.
3️⃣ Keep 1 copy offsite, away from your office, so a break-in or fire cannot destroy your only backup along with the original.

🔐 Cyber Tip Tuesday: your page, Instagram account and Google listing are business assets. Losing control of one is a slow and painful thing to recover.

Three habits worth checking today:

1️⃣ Pages are held by people. Your Page is controlled through personal profiles, not by the business itself. If your only admin leaves or their account is compromised, the business can lose the Page. Keep two trusted admins, and remove access the day someone departs.

2️⃣ The urgent warning is bait. Messages saying your Page breached copyright and will be deleted in 24 hours are a very common scam. Real notices appear inside the platform. Never sign in through a link sent by chat or email.

3️⃣ Protect the personal account. Most takeovers start with one admin personal profile being hacked. Turn on two factor authentication for every profile that has admin rights, not just the business account.

Worth doing a quick check this week of who still has admin access.

📱 Most Malaysian SMEs let staff read work email on their own phones. It is convenient, and it is usually fine. What matters is what you agree on first.

Three things worth checking today:

1️⃣ The data leaves your control. Once a work account is added, attachments, contact lists and customer records sit on a device the business does not own or manage.

2️⃣ Set the basics before you grant access. A screen lock, a phone still receiving security updates, and multi factor authentication on the work account. Company mail should never auto forward to a personal address.

3️⃣ Plan for the leaving day. You should be able to remove company access from a personal phone without touching anyone's private photos. Mobile app management is built for exactly that.

Under PDPA, customer data sitting on a staff member's personal phone is still your responsibility.

🖥️ A question we get a lot: do we still need a server in the office?

For many Malaysian businesses the honest answer starts with another question. What is that server actually doing?

Three things worth thinking about before you replace or remove one:

1️⃣ Start with the job, not the box. File sharing and email have largely moved to the cloud. Line of business software, large design files and local databases often still run better on site.

2️⃣ Cloud is not automatic backup. Your provider keeps the platform running. Your files, and how far back you can restore them, are still your responsibility.

3️⃣ Judge it on speed and downtime. How quickly staff need to open large files, and how long the business can cope without each system, answers this better than any trend.

Plenty of businesses end up with a mix of both, and that is a perfectly good answer when it is chosen on purpose.

🔐 Quick question. Who has admin rights on your office computers?

For a lot of Malaysian businesses the honest answer is everyone, because that is how the laptops were set up on day one and nobody revisited it.

Three reasons it is worth a look today:

1️⃣ Admin rights are inherited. Anything a staff member accidentally runs gets the same power their account has. That is the difference between a suspicious download being blocked and it installing itself across the machine.

2️⃣ Daily work does not need them. Email, documents and browsing run perfectly well on a standard account. Keep a separate admin login for the times you genuinely need to install or change something.

3️⃣ Access outlives its reason. Staff change roles, hand over laptops and move on. Admin access granted for a one off task tends to stay behind long after the task is finished.

It costs nothing to check, and it quietly removes a lot of risk.

📬 Someone filled in your website contact form last week. Did you actually receive it?

For a lot of Malaysian businesses the honest answer is no, and nobody notices, because a missing enquiry does not announce itself.

Three things worth checking today:

1️⃣ Look in the junk folder. Form emails are sent by your website, not by you, so mail filters often file them as spam. Mark one as not junk and add the sender to your safe list.

2️⃣ Check where the form sends from. If it uses an address your domain does not authorise, mail providers may block the message silently. Correcting the email settings on the site fixes it.

3️⃣ Test it every month. Submit your own form and see how fast the reply lands. Keep a copy of every enquiry stored on the website too, so a lost email is never a lost customer.

The leads you never see are the ones that cost the most.
