You lined the quotes up in a spreadsheet and called it a comparison. Was it one?

Six returns, a column each, totals along the bottom. It looks like analysis. It is a layout.

One has priced the temporary works; one has excluded them. One holds the design responsibility; one has handed it back. Payment terms differ, so somebody is funding the cheap one. Two priced a superseded revision and only one said so.

Level all that and the order usually changes. Sometimes the cheapest turns out to be the dearest.

It often does not get done because levelling is manual and it lands in settlement week, while the totals are already sitting there looking authoritative. The caveats end up in a notes column nobody reads out.

Which job on your board is currently costing you a director's attention?

There is usually one. And there was usually a moment, months back, when somebody could have declined it and did not.

The margin is the visible cost. The real cost is what it displaces. A commercial director spending two days a week on one contract is not building the relationships that produce next year's work. Your best QS is defending a position instead of setting up three others properly. Two more tenders went out thin because the right people were tied up.

None of that shows in the cost report. It shows up eighteen months later as a quieter pipeline nobody can quite explain.

Deciding what not to price is how you protect the capacity to price the rest properly.

How many times does one quantity get retyped between the drawing and the client?

Measured in the take-off.

Typed into the BoQ.

Pasted into the enquiry schedule.

Retyped into the comparison sheet when quotes come back.

Carried into the pricing document.

Summarised into the submission.

Six hops is a conservative count. Each one is a keystroke, a paste into a differently structured sheet, or a manual fix made at eleven at night in settlement week.

The odds on any single hop are excellent. Compound six of them across thousands of lines and the question is not whether an error got inโ€”it is whether anyone would spot it.

Nobody re-checks the middle of that chain. The number looks reasonable, because it is nearly right.

Who prices your biggest jobs, and where does the method actually live?

If the honest answer is one person's head, that is a business asset with a coat on and a car in the car park.

Twenty-five years of knowing which subbies price honestly, what difficult ground really costs, where a rate looks fine and never is. Never written down, because it was always available at the next desk.

Then they retire, or a competitor makes an offer, and you find out what the company actually owned. Not the bid library. The reasoning behind it.

Systemising that does not deskill anybody. The judgement stays theirs; it just stops being the only copy.

The value should belong to the business, not commute home every evening.

Did you measure the same job twice this month, off the same drawings, and get two different totals?

A revision lands late, the deadline does not move, so it gets measured again at speed. The second answer does not match the first. Then somebody picks one on the afternoon of settlement, largely on instinct.

Every scheme you fund is priced by a supply chain you cannot see into.

Your number came from a contractor. Theirs came from thirty subcontract quotes. Each of those came from an estimator working off a take-off done in a fortnight, from drawings that were not finished.

Three layers below your board paper, someone measured a quantity. Your cost certainty sits on that measurement, and you have never seen it.

When it is wrong, it does not stay wrong quietly. A missed quantity becomes a scope gap, then a variation, then a claim, then contingency you had allocated elsewhere. By the time it reaches you, it has been through three commercial teams and comes with a story attached.

Tighter reporting will not fix that. The cost was decided months earlierโ€”at the point of measurement.
