We build custom software for a living - and a fair amount of the time, we tell people not to buy it.

When someone comes to us knowing their systems are failing them, of course sometimes a completely bespoke piece of software is the best solution. And we do that well.

But the answer isn't always "build a whole new system." Often the tools they've already got just need connecting. Sometimes there's an off-the-shelf product that does the job for a smaller cost.

Pointing that out loses us the sale. But it's the honest answer - and it's why people come back when they genuinely do need something built.

You know that your software is holding you back, and something needs to change, but you aren’t sure where to start.

“Sorting out our software” starts with choosing between three options:

1. Buy off the shelf - when your needs are common and someone’s already built it well.
2. Integrate - when your tools work well individually, but don’t communicate well with each other.
3. Build - when the way you work is unique enough that nothing off the shelf will fit properly.

Getting it wrong can lead to years of frustration before finally admitting defeat and returning to square one.

If your software is holding your business back, you've probably started looking for a replacement.

But "new software" isn't one option - it's three, and most people only ever consider one of them:

1. Buy something off the shelf.
2. Connect the tools you already have so they work together effectively.
3. Build something bespoke around how you actually operate.

All three have their advantages, so how do you know which is right for you? These three questions are a good place to start:

1. Does each existing tool work well for its intended purpose, with time being lost between tools? If yes - integration could work well for you.
2. Is the problem a common, standard issue across your industry? If so, you may well be able to find a good piece of off the shelf software.
3. Does the process deviate too far from the industry standard to rely on off the shelf software without multiple workarounds?

Most business owners work out what operational inefficiency costs by multiplying hours by hourly rate. Ten hours a week, £12.71 at National Living Wage, 47 working weeks - around £6,000 a year. It's annoying - but it doesn't account for what you see day to day.
