Salesforce Flow and Zoho Workflow don't fail the same way.

Salesforce Flow can stop a salesman mid save. Screen Flows sit right in the process. If one breaks, they get an error message written for a developer, the record won't save, and they're stuck until someone fixes it.

Zoho runs most of its automation after the record saves. So the save always goes through. Nothing blocks them, nothing interrupts them.

But if that workflow fails, they never see it. No task, no email, no notification. They carry on thinking it worked. Weeks later a lead's gone cold because a follow up task never got created and nobody noticed.

One system annoys your team in the moment. The other lets them walk around thinking everything's fine when it isn't.

The Salesforce failure at least tells you something's wrong straight away. The Zoho failure just quietly lets it slide.

If you're building workflows for your team, that's the question that actually matters. Not which platform's better. Which failure your salesmen can survive without losing a deal.

A business owner called us last month asking why his Zoho CRM invoice was nearly three times what he'd budgeted.

He'd seen "from £14 a user" on the website, done the maths for his eight-person team, and told his finance director it would cost about £112 a month.

He wasn't wrong about the maths, but he was not thinking about the picture. He started off with the wrong edition for what his team actually needed. He had not budgeted for setup, migration or training. And there was couple of teams using the system that he hadn't priced in at all.

This happens more than you'd think. The headline price on a CRM's website is real. It's just not the number that ends up on your invoice.

Ask most sales teams where their leads come from, and the CRM will tell you almost nothing useful. The lead source field looks tidy on a report, but underneath it is usually a mess of one-off campaigns, trade show badges, and referrals that never got logged properly, all sitting under a generic label like Website or Referral because nobody set up anything more specific.

The real damage comes from the Other field. Give a sales user a free text box and a lead source they can't be bothered to categorise, and you'll get "saw us somewhere," "can't remember," or their own shorthand for an event that happened eight months ago. Multiply that across a few hundred leads, and marketing can't tell you which channel actually earned its budget.

The fix isn't complicated. Replace free text with a locked picklist, so every value entered is consistent and reportable. For anything that isn't an evergreen channel, such as a trade show, webinar, or one-off campaign, use a separate campaign or tag field rather than cramming it into lead source itself, so you can see the channel and the specific activity behind it side by side. In Zoho CRM this takes about twenty minutes to set up properly, and it's the difference between a marketing report you can trust and one you're guessing at.

If your lead source field has an Other option with more than a handful of results sitting in it, that's the first thing to fix.

The average B2B company takes 42 to 47 hours to respond to a new lead. Nearly two working days.

MIT research, published in Harvard Business Review, found responding within 5 minutes makes you 100 times more likely to get the prospect on the phone. And 21 times more likely to qualify them, versus waiting 30 minutes.

Your prospect didn't just fill in your form. They filled in three others too. The first business to call usually wins the deal.

Your product's and your pricing's fine. The lead is just sitting in an inbox waiting for someone to notice it and assign it to the right team member.

We get asked a lot: "how much time is CRM admin actually costing my team?"

Turns out there's a real number for that, and it's higher than most people guess. From our own research, the average salesperson spends 10 -12 hours a week on manual data entry. Yes, that's up to 28% of a full working week spent manually entering information into a system instead of talking to customers.

We see this constantly when we run field usage audits for clients. Fields that get duplicated by hand across three screens. Notes copied from email into the CRM, then copied again into a spreadsheet for the sales meeting. Update reminders that get ignored because updating takes longer than it should.

None of that is a training problem. It's a setup problem. When a CRM asks a user to do the same job twice, they'll do it twice, badly, for as long as you let them.

If you want to know where your own team is losing hours, here's where to start. Pull one week of activity logs from your CRM. Count how many fields get touched more than once for the same record.

If that number is bigger than you expected, that's normal. Most businesses have never measured it.

Zoho shipped four new things this quarter. Skip all four.

Zoho Vani, Zoho Spend, a Billing Enterprise tier, and XLSX export all landed in Q1/Q2. All decent tools. None worth opening your CRM settings for.

Vani is a flowchart tool, separate from your CRM. Spend only matters once you've outgrown your current purchasing process. Billing Enterprise only affects existing Zoho Billing users hitting capacity. XLSX export is a convenience, nothing more.

A consultant who tells you every release needs action is either not reading the notes or billing you for a reconfig you don't need.

A deal sat in Qualification for [X] days last month. Nobody skipped a step on purpose. Nobody was watching that stage at all.

This is the real problem with most sales processes. This is why Zoho CRM has a feature built for exactly this. It is called Blueprint.

Blueprint locks the stage field. A user cannot drag a deal from Qualification to Proposal on a whim. They hit a transition button, and Zoho will not let that button work until the required fields are filled in, the required tasks are logged, sometimes until a manager signs off.

Here is what that means for the person you are actually selling to.

They stop waiting on someone to remember them. The deal/opportunity cannot move until the follow up exists, the call is logged, the quote matches your discount policy. If a rep forgets, the deal does not move.

We set one of these up for a client in the distribution space. Orders were closing without full delivery details captured, so warehouse staff were calling customers back to ask for information that should already have been in the record.

Blueprint made the delivery address a required field before the order stage could close. Delivery delays from missing data dropped close to [Y]% within the first month.

Features like this look boring to an end user, however they are reason a customer's order does not sit forgotten in a warehouse.

If deals move forward in your CRM on a hunch instead of a checklist, your processes are not being followed.

Are you putting on your out of office this afternoon?

Many people this time of year take time out of the office and head off on Holiday. Fantastic! But whilst you are sunning yourself, how will your team manage your clients, leads and prospects?

Here's what actually happens.

A lead comes in on Tuesday. You're on a beach in Crete. Nobody owns that lead. It sits in an inbox for four days until you're back and see the missed opportunity.

A client emails asking about their order. Whoever picks up the phone has no idea what stage they're at. Or what was promised. Or who normally deals with them.

Your out of office reply says "I'll respond when I'm back." Your competitor's doesn't wait that long.

I see this every year with new clients before we start working together. Opportunities go untouched in July and August. Nobody notices until they check the reports in September.

Make sure that all of the up to date information is in the CRM before you go, not when you get back.

Give someone ownership of every open opportunity and open ticket. Not "the team". One named person.

Set a rule that reassigns unattended leads after 24 hours so they don't just sit there.

Write down where every deal actually is. Use the CRM, not your memory.

Check that person can actually see what you see. If your CRM only makes sense to you, whoever covers for you can't use it either.

None of this needs new software or a big project. It needs an hour before you leave. And someone who knows what to do with a hot lead.
