Innovative Ways To Share Workouts With Members

Workout programs and training plans are a key element to help new members get started on their fitness journey. A well-planned program helps boost members chances of transforming into a loyal long term member.

That’s why it’s important to ensure you deliver workout plans to members in a user friendly and engaging way.

Using paper-based workout programs is no longer industry best practice nor does it lead to the best experience for your members.

Using our FitDesk software gyms can create personalised workout programs for members and deliver them to them in a more modern and engaging way.

We explain the available options to deliver digital workout programs to your members using FitDesk.

Smartphone – Most members carry a smartphone with them when within the gym. They may use it to listen to music or to browse the web between sets. This allows the smartphone to be the perfect medium to deliver the members personal workout. Using FitDesk your gym members can access their personalised workout program complete with pictures and instructions for sets, reps and weights. Members can even record their performance for each exercise as well as view past results.

Kiosk
Not all members have access to a smartphone or want to bring their phone into the gym. This is why it can be useful to provide members with a way to access their workout within your club. This can be achieved by providing a kiosk or touch screen terminal where members can log into their FitDesk account on the gym floor and view or update their schedule.

FREE Member Attrition Calculator

Improving member retention starts with knowing your numbers.

We are a fan of measuring monthly attrition. This allows you to keep your finger on the pulse in terms of monthly changes.

Measuring annual retention rate is great however it only gives you an overall scorecard for your performance over a year.

Measuring monthly attrition allows you to monitor changes from month to month and compare seasonal changes from year to year.

Typically, there is a 3-month lag from action/implemented changes and the retention result.

So, when you implement strategies for supporting members it is important to carefully measure the changes and what was implemented 90 days earlier.

We recommend targeting monthly attrition of less than 3%. You may find yours is between 4 and 5% which is typical for an average gym.

When we work with our clients one of the first things, we get them to do is to implement a process to track their monthly attrition.

Simply by measuring attrition we find that retention improves almost automatically because there is a greater focus on it.

Workout Program Tips To Improve Member Retention In Your Gym

Providing new members with a workout program can be a great way to help ensure they progress towards their fitness goals.

However, there are some common mistakes that gyms make when it comes to workout programs that can impact member success and retention

We explore some of the pitfalls to avoid when programming and how to maximise your member progression and retention.

1. Making workouts too long

The first mistake is making workout programs too long. Habit creation research outlined in the book Atomic Habits by James Clear illustrates the fact that it’s much more likely for someone to create a habit if they start with small bite-sized chunks. This idea can be applied to the workout programs you provide members. Ideally, workout programs for new members should be no longer than 40 minutes and ideally between 20-30 minutes.
This has an important psychological effect on new members. The hardest step when doing exercise at the gym is getting to the gym. Mentally, it is a lot easier to act knowing a workout is only going to take 30 minutes than 1 hour and 30 minutes.

We recommend having strict guidelines for your gym staff to ensure gym programs are capped at 40 minutes for new members.

Once members have developed a strong habit with their gym attendance you can slowly start to increase the length of workouts however keeping it short is the key to success in those early habit formation stages.

2. Making workouts too complicated

The next mistake is making workout programs too complex. Many trainers want to show their expertise by prescribing complex and advanced exercises to new members. Often it is easy to forget what it is like to be a beginner particularly when you have been in the industry for some time.

At the end of the day, the role of each trainer is to serve the members. This means understanding the needs of new members and understanding what it is like to be learning the ropes at a gym. It can be extremely overwhelming.

Making things too complex can overwhelm the new member and stall their progress leading to an increased chance of drop out.

It can be advisable to continually re-enforce the message to your gym team that for new members our goal is to keep things quite simple and easy to follow.

There is a time for more advanced and complicated training programs but not with new members who lack experience.

3. Making workouts one dimensional

Over the years we have seen a lot of gym programs written. Most programs are what we call one dimensional. In other words, they are a list of exercises, with specific sets, reps and recommended weights assigned.
These programs are great however they have one fundamental flaw in terms of habit formation and behavior change.

One of the biggest weapons in terms of behaviors change is what is known as environmental cues.

Environmental cues can be used to help trigger a certain behavior – One of the best environmental cues available to us is day and time.

For example, if you tell a member to follow X program 3 times per week this is significantly less powerful as getting a member to assign specific days and times for when they will come to the gym.

If a member plans out that they will come to the gym on Monday and Wednesday at 6 pm and Saturday morning at 9 am this scheduling greatly increases the chances that the member complies and sticks to this schedule.

Gyms can leverage this concept by helping members create a weekly plan that will complement their specific workout program. This weekly plan or schedule is a missing link in terms of compliance and behavioral change and should be a consideration for every gym that wants to maximise member retention.

2. Provide a clear roadmap to success

20. Use Net promoter surveys to keep your finger on the pulse of member satisfaction
21. Set clear expectations with your team- Their focus should be appointments, interaction (in person) and follow up.
22. Identify members with low or declining visitation rates and engage with them

Smart Automation To Enhance Your Customer Engagement

When it comes to improving retention in your gym communication is king.

The deeper your relationships with your members the better your retention rates are likely to be.

We explore how industry leaders are using our FitDesk software to develop a highly personalised and engaging member journey.

FitDesk uses a concept called smart automation to allow your gym to establish complex communication processes to engage with your members.

Smart automation involves having a “trigger” which is an event or action taken by a member. These triggers can be used to start a communication touchpoint.

FitDesk’s 12 key “smart automation” triggers are outlined below.

1. A member signs up

This is great for generalised onboarding such as an email welcoming them to your club.

You may wish to set up a series of onboarding communications (3-5 is ideal) to help educate each new member and build a relationship with them.

We recommend using as much video content as possible as this helps build a greater connection with your new members.

2. An appointment has been confirmed

Appointment confirmations are important touchpoints with members. The beauty of FitDesk is that you can have different confirmation messages for different appointment types.

For example, for an initial appointment, you may wish to let the member know what to expect, what to bring, what to wear etc.

This is important to ensure members have the best possible experience and that they get the most out of each appointment.

3. An appointment is completed (choose specific appointment type)

This trigger is ideal to summarise the key messages of specific appointment types as well as frame the “next steps” in that member’s personal journey.

These triggers are triggered as soon as a trainer marks an appointment as complete.

We recommend setting up different communications for the completion of different appointment types.

For example, if an appointment is focused on taking a member through a personalised training program then an email at the conclusion of the appointment could direct the member how to access their workout through FitDesk.

4. There is no show for an appointment

Keeping members on track and moving through the steps of your retention process is critical.

A missed appointment can really slow the positive momentum of a new member.

If a member is a no show to their appointment is important to quickly engage with them to get them re-booked as readily as possible

The appointment no show trigger in FitDesk allows for an email or SMS to be triggered to a member who has missed any appointment which assists in re-engaging the member and getting them back on track.

5. The appointment is rescheduled

This trigger can be used to simply re-confirm that an appointment has been re-scheduled.

6. An appointment has been cancelled

This trigger can be used to confirm that an appointment has been cancelled. You may wish to include some instructions around how to re-book at another time if they haven’t already done so.

7. When an appointment is due for

Another powerful trigger is “when an appointment is due for X, this can be done for long term appointment reminders such as reminders for re-assessments.

For example, if you wanted to remind new members to see their trainer again after 8 weeks for a re-assessment then you could use this trigger to set a reminder for that specific appointment type 8 weeks after the completion of the previous appointment type.

Ensuring members come back after 8 weeks to assess their progress is a vital step in any gym retention process.

8. The goal is X

Every member is different. Different members have different goals and training interests. The goal trigger in FitDesk can be used to share content that is specific to a certain goal. For example, if a member has the goal “muscle size” you may “drip” a couple of articles about tips for maximising muscle size and strength.

If a member has the goal of weight loss you may share with them a video on tips on how to accelerate weight loss.

This kind of educational content can help engage members and maintain their motivation levels with new things to try.

9. The member has not logged in for the past X days

Think of FitDesk as a tool to not only help your gym operate better but as a tool to help hold new members hands over the initial few months of a new member journey.

We have found that members who engage more deeply with FitDesk tend to stay longer, therefore we want to make sure as many members engage in the platform as possible.

This trigger is useful to re-engage members who have not logged in for a specific time period, such as 30 days.

10. The members birthday

This trigger allows you to send a message for the members birthday. This may be in the form of email or SMS. You may also want to include a voucher in this email for a special birthday gift or offer.

11. The member completes X workout

This trigger is great for reward and recognition. For example, if a member completes there 5th workout on FitDesk we may want to trigger an email or text message congratulating them on their progress so far. You may even want to tie in rewards such as a voucher or special prize if they reach a specific workout milestone such as 50 or 100 workouts.

12. When the member’s workout is attached

This trigger can be used to inform a member that their workout is ready and available for access within their member portal.
