Every business works differently.

That's why we build software around your processes, not the other way around.

Whether it's a fishing club, a construction company, or a field service team, the goal is always the same:

Practical software that makes day-to-day work easier.

Thanks, Tim, for the great review.

Scheduling Is More Than Filling Gaps

Scheduling is never as simple as looking at an empty gap in the schedule and filling it.

Most businesses are still focused on the empty gap in the schedule.

The better question is:

"What could we move?"

It sounds like a simple question.

It isn't.

That one question uncovers:

→ Customer availability

→ Technician qualifications

→ Travel times

→ Service agreements

→ A whole lot of business knowledge that isn't obvious from the schedule alone.

The schedule was never the real problem.

The real challenge is uncovering all the information needed to make the right decision.

It's challenges like this that drive the way we design scheduling solutions at Xelleron.

Most businesses keep a close eye on revenue.

But by the time revenue starts dropping, the warning signs have often been there for weeks.

Things like:

→ Empty installation slots

→ More time spent driving than working

→ Quoted jobs sitting there waiting to be scheduled

→ Jobs taking longer to get allocated

The schedule often tells you something is wrong long before the financial reports do.

What early warning signs do you keep an eye on?

A client told us something a while back that has stuck with us.

Their scheduler was about to go on leave.

So they trained someone to cover the role.

Then that person resigned.

Suddenly, they realised just how much of their scheduling process depended on things that only a couple of people knew.

Things like:

→ Which technician worked best at certain sites.

→ Which jobs always needed a bit of extra attention.

→ Which customers had their own way of doing things.

None of that information was written down.

It had just built up over the years.

It made us stop and think...

How much of your scheduling process relies on knowledge that's only in a few people's heads?

Right now, the hype says AI should be doing everything.

AI picks the job. AI picks the time. Job done. No people needed.

Maybe that works in a perfect world where nothing ever changes.

But that's not the world you work in.

Let's say you've got a customer called Drew.

The system looks at Drew's job and finds the perfect slot. It's the right day, the technician has the right skills, the travel time works, and it ticks every box.

The problem is, the system doesn't know you moved Drew's job last month and he wasn't happy about it. If you move it again, there's a good chance you'll lose him.

That isn't written down anywhere.

It's something you know because you've dealt with Drew before.

So the software moves the job anyway.

Technically, it made the right decision.

In the real world, it made the wrong one.

That's why we build for the real world, not the perfect one.

Let the software do the hard work. Show you the SLA, the travel time, who's qualified, and when the customer's available.

Then let the person who knows Drew decide whether it's actually the right move.

Every scheduling tool says it'll make your life easier.

Then you start using it, and you realise it wants you to work its way. Your jobs have to fit its boxes, your process has to fit its screens, and the things that actually matter don't seem to fit anywhere.

So you make it work.

You keep a spreadsheet on the side. You put notes in fields they were never meant for. And there are always a few things that never make it into the software because people just remember them.

Why?

Because it was built for "most businesses."

But your business isn't like most businesses. The way you schedule today comes from years of figuring out what works. The little rules, the exceptions, and the things you only do because you learned the hard way. That's how your business runs.

The problem is that most software expects you to change your business to fit the software.

We think it should be the other way around.

Your scheduler's off sick today, so someone else has to jump in.

They open the schedule and see two techs who are both free at 10 o'clock. On the calendar, they look exactly the same.

What they don't know is that one tech has done this job a hundred times. The other hasn't.
One's only ten minutes away. The other's on the other side of town. One already has the part in the van. The other doesn't.

The regular scheduler knows all of that. The replacement scheduler doesn't.
So now they're making phone calls.
"Where are you now?"

"Have you done this type of job before?"

"Have you got the part?"

"Can you get there on time?"

Maybe they dig through job history. Maybe they ask someone else in the office. Maybe they eventually find the answer.

That's where job-first scheduling changes things.

Instead of leaning on one person's memory, the system already knows this stuff. Who's got the right skills. How far away they are. What parts they're carrying. The customer's history. Whatever else matters to how you run.

So when your scheduler's away sick or eventually moves on, the knowledge doesn't disappear with them.

Because the real challenge was never finding an empty spot on the calendar.

It was finding the right person for the job.

In this video, Stefan demonstrates Person First Scheduling.
This is an approach that starts with the technician's availability and uses business rules, travel time, skills, materials, and service agreements to identify the best jobs to schedule, making complex scheduling decisions faster and easier.

Scheduling isn't about finding an empty spot on the calendar, it's about finding the right spot.

In this short demo, Xelleron introducers job-first scheduling, where every scheduling decision considers technician skills, material availability, travel time, customer availability, SLAs, and other business rules.
See how the right information helps schedulers make faster, more informed decisions.

What if one person knew everything?

Watching the scheduling demonstration reminded me of something I've seen in a lot of businesses.

There is often one person who holds all the company's scheduling knowledge in their head.

They know which customers are flexible.

Which technicians work best on certain jobs.

Which appointments should never be moved.

Very little of that knowledge is written down.

Most of it has been built over years of experience, or is trapped in emails that only they have seen.

It made me wonder...

How many businesses out there depend on just one person?

What happens when they go away on holidays?

What happens when they go on long service leave?

Curious how it works? Link's in the comments, or check it out here: https://www.xelleron.com/services/scheduling.html
